29 October 2026, bookings, payments and jobs

New

  • Call-out fees for jobs. List your fees in Jobs settings, Call-out fees (a normal and an after hours one, say). Add one on a job from its Call-out section, or tick Add the usual fee to each job made in Jobs. Each is its own line on top of the hours, prints with the labour, and goes to your Labour account in Xero. Take it off a job to waive it.

Changed

  • Take off beside each extra on a booking opens Change what’s booked with it unticked and the new total showing.
  • Choices from your booking form, such as "Pick 3 platters" or a theme, can be changed on the booking. A choice you charge for moves the total the way checkout priced it. Customers asking for a change from their booking page can change their choices too, when you let them ask.
  • A booking's receipt or invoice has Change what’s booked, and a booking's balance on Money has Open the booking.
  • The email to the customer names what was taken off or added. After a declined card it asks them to pay rather than saying the rest comes off their card, and the declined line on your bell for the old amount comes down.
  • The booking stays open after a change, showing the new balance.
  • Set the price by hand on a booking: a friend's rate, a price agreed on the phone, or $0 when you bill it on the job instead, with a reason kept in your activity. Email the customer the new details can be unticked.
  • Customer emails, receipts and their booking page name your service without a badge such as "⭐ Most Popular" that your booking page shows.
  • When a saved card is declined for a balance, the customer is emailed straight away: Your payment didn't go through, with a Pay your balance button that takes the same card or a different one. Your email about the decline now says they have been told. Before, they were emailed by a later run, up to six hours afterwards for a business in Western Australia, while your email said they had not been told.
  • Pressing Charge balance says so too when the card is refused and the customer has been emailed.
  • Booking dates in these notices are written out, "Sat, 31 October 2026".
  • Your email says why the card was declined in plain words, such as Their bank declined it for insufficient funds, and names what was booked.
  • The customer's email names what they booked, in both the declined email and the balance reminder.
  • Once the booking day has passed, a card that keeps being declined is chased once a week, and you are emailed once, with the line kept on your bell until it is paid. Before that it is still once a day.
  • An overdue invoice on shorter terms than yours says so in the morning email and on Reminders: 1 day overdue · due on receipt, or net 3 days.
  • The bell line for a declined card is one line per booking, … could not be charged to …'s card, with the reason in plain words. Each day's decline replaces the line before, rather than adding another.
  • Booking balances on Money show when the customer was last emailed, Reminded today or Reminded 29 Oct, as invoices already did. That covers the balance reminder, the declined card email and Email pay link.

28 October 2026, the job card saves what you type

Changed

  • A part typed on a job saves when you move off its row, as every saved row already did. Before, it waited for Enter or the row's button, which now says Save.
  • Leaving a job with something not saved asks first, naming what: a part that can't be saved yet, a trip still open, or changed details.
  • The trip form's button says Save trip.
  • Rates are typed the way you price your invoices. Priced excluding GST, the hourly rates, a visit's rate, the travel rate, zone amounts and a customer's own travel rate are typed ex GST, with the figure including GST under each, and the invoice adds the GST. A rate set before reads ex GST now: $150 set meaning including GST shows as $136.36, so type the rate you charge.
  • To bill on a job is what the invoice charges, to the cent, for a business that prices excluding GST: each line is the ex GST price times the quantity, plus 10%, as the invoice works it out. A long trip used to read a dollar or so over.

28 October 2026, password resets that work

Fixed

  • A password reset asked for at happierbiz.com.au/forgot could not be used. Its link landed on the front page, signed out, with no message. Every reset now comes from your business, with a link that opens the new password form.
  • Opening an emailed link no longer uses it up. Sign-up, reset and sign-in links show a Continue button first, so a mail filter that checks links can't spend them before you do.
  • A reset on an account with two-step verification could not be saved. It said only that the password couldn't be updated. The form now asks for the code from your authenticator app.
  • A refused new password says why: the one you already use, or one too easy to guess.
  • A used or expired link says so on the login page, and how to get another.
  • Setting a new password from a reset is checked against the link you opened, so it can't be done from a session that came from anywhere else.

28 October 2026, options on a quote

New

  • Options on a quote. Add optional extras the customer can add or say no thanks to, and choices where they pick one of several, each one line or a package of lines. Mark one Recommended to tick it to start with. The customer ticks what they want on the quote's page, sees the total and deposit change, and accepts only that. Extras they leave to decide stay on their page to add later. Only what they accept goes on the job, the invoice and the copy in Xero. See Invoicing, 7c2.
  • Answers taken another way. Accepted on a quote with options asks which they chose; Record more answers records the rest later.
  • An acceptance record on every quote: who accepted it, when, and what it came to, kept even when the quote is reopened.

Changed

  • Your logo is bigger on invoices, quotes and receipts. It now fits 240 by 96 pixels instead of 160 by 48, keeping its shape, so a square logo prints twice the size. On the printed copy, the PDF and the online copy; emails keep their header.
  • An accepted quote keeps what was agreed. Its lines, prices, discount and options no longer change in Edit; Reopen withdraws the acceptance (kept on record) and puts it back to Draft to change and send again.
  • A quote changed after the customer opened it can't be accepted unseen. They are asked to refresh the page first.

Fixed

  • A document's lines could come back in a different order after it was edited, and reach Xero in a different order. They now always read in the order they were written.
  • A customer accepting or declining a quote online was missing from the quote's own History.

28 October 2026, PDFs on invoice and receipt emails, and replies that reach you

New

  • Invoice emails attach the invoice as a PDF. Every invoice email and payment reminder now carries the printed copy as a PDF, for accounts teams that accept nothing else. It is on for every business. To turn it off, untick Attach the invoice as a PDF under Invoice and receipt emails in Settings → Invoicing & tax.
  • Receipt emails attach the receipt as a PDF. On for every business too, with its own tick in the same place, Attach the receipt as a PDF.
  • Download PDF on the printed copy of an invoice, quote, order or receipt saves the same PDF.
  • An accounts email for a customer. In their Address and billing, or when adding them, an Accounts email takes their invoices, payment reminders, receipts for invoice payments and account statements, while bookings and quotes still go to them. Unpaid invoices move with it.
  • Your own customer fields. Settings → Customers lets you keep anything about your customers in your own words: text, a number, a date, a choice from your list, or yes or no. They show under More details on each customer, are searched, exported, imported and printed in the customer pack.
  • Where customers came from. Your own list, picked on each customer, optionally asked on the booking page, with a report at the top of Customers.
  • Credit limits and accounts on hold. On a customer's Account card. A new invoice says when they are over their limit; an account on hold can't book online.
  • Birthday email. Mark a date field as their birthday and turn it on: customers who agreed to marketing get your message on the morning of their birthday.
  • Customers' addresses and phone numbers reach Xero. A contact HappierBiz makes in Xero now carries the billing address (what Xero prints), where they are and both phone numbers. An existing contact has them filled in only where Xero's are empty; nothing in Xero is written over.
  • Two phone numbers for a customer. A Mobile and a Home or business phone under Contact details and on Add customer. Both show on their record, both are found by search, both export, and an import keeps a second number instead of putting it in the notes.
  • Customer addresses anywhere in the world. A Country on their address and billing address: outside Australia the state and postcode are written that country's way, and the country prints on their bills. Imports take Accounts email and Country columns too.
  • Replies that reached our no-reply address now reach you. When a customer's system, such as an accounts team's invoice inbox, answers the address your email came from instead of yours, the answer is emailed to your business email, put on the bell, and shown on the invoice or receipt and in the customer's Emails.

Changed

  • Document numbers never run out. Invoice, quote, order, adjustment note, receipt and job numbers keep counting with as many digits as they need: INV-9999 is followed by INV-10000, and so on without end. The next number you can set in Settings → Invoicing & tax → Document numbers now goes up to 999,999,999, and a kind that has counted past that can still have its prefix changed.
  • Bank matching reads a prefix with a digit in it. A payment marked "42" now matches HB2-0042.
  • Changing a customer's email no longer readdresses every invoice. Only the invoices that carried their old email take the new one; one sent elsewhere on purpose keeps its address.

27 October 2026, travel help and Jobs on a phone

New

  • Travel by zone. Instead of a rate per km, charge a set amount by how far away the customer is: choose By zone in Settings → Invoicing & tax → Travel charges and add your zones, with 0 for included. The booking page measures their address, shows their zone and your note about travel, and adds it to the total before they book. Jobs, quotes and invoices choose the zone from the distance, or you press one.
  • Serial number, make and model on your documents. Choose which details of a job's equipment print on its quotes, invoices, receipts and job card in Settings → Invoicing & tax → Equipment details on documents. Nothing changes until you choose.
  • A separate billing address. On a customer, tick Bills go to a different address for one whose bills go to an accounts office or head office. Their invoices go there, travel and bookings use their own address, and a quote or invoice prints the Job address when the two differ.
  • A note on every quote and invoice. Write it once in Settings → Invoicing & tax → Notes on every quote and invoice. Each one keeps the note it was sent with.

Improved

  • New customer on an invoice or quote takes their address too, so By road can measure travel to them straight away, and the document prints it.
  • Jobs on a phone no longer shows Inc GST and Ex GST at the top. The same switch is beside Parts on every job card, and the whole of Jobs follows it.
  • An (i) beside each choice on travel, on a job, a quote, an invoice and Vehicle trips, says what it does: the kilometres, By road, a logged trip, Remember this distance, Also add to Vehicle trips, and charging or not charging a trip.

Fixed

  • Work added to a job after its invoice was started reaches that invoice. A job whose invoice is still a draft offers Add to INV-0001, which adds the new trip, part or hours to that draft. Add unbilled work on an invoice for one job now offers its parts and trips too, never anything already on it.
  • The travel rate says it includes GST, and a business that prices ex GST sees the rate ex GST under it. On a job in Ex GST, the rate and the trip's sum read ex GST, like its amount.
  • Bill this job opens ex GST straight away for a business that prices ex GST. Saving in the first moment could be refused.
  • A sole trader sees their bookings on My work. With only one person in the business, every booking is theirs, even one booked against a room or with no staff member chosen. A request waiting for approval shows too, marked Awaiting your approval, to whoever may approve it, and each line opens its booking.
  • The timer on a job card catches up when you come back to it. A timer stopped on another device, or at the forgotten-timer cap, now shows as stopped instead of leaving Stop on the card, and the time so far stops at your own cap.

26 October 2026, Where it happens moved up

Improved

  • Your bar. On a phone, More → Your bar chooses what sits on the bar after Home and My work: add, reorder, take off, or swap when it is full. It is yours, on every phone you sign in on. Until you choose, Jobs comes first when the business uses Jobs.
  • Where it happens on a service now sits directly under the name and times, above Time & capacity. It holds We come to the customer, This happens online and, when you charge travel, whether the service charges it.

26 October 2026, more on travel

New

  • Travel on online bookings. Off until you tick it in Settings → Invoicing & tax → Travel charges. A service at the customer's place charged on top works the travel out from their address and shows it in the total before they book; it is paid with the booking. Set the furthest you travel for an online booking, and further away they are asked to get in touch. Prices say plus travel.
  • Add travel from My work, for the person who drove.
  • A trip logged in Vehicle trips can supply a job's travel, charged once, and recording travel can add the journey to Vehicle trips.
  • Your cost per km in Travel charges counts what driving cost in Job profit.
  • Charging travel time: a work category with its own hourly rate (Jobs).
  • Charge this trip anyway. A trip that starts as not charged (the customer is never charged, or the job's service includes travel or does not charge it) can be charged on the trip form, and Change switches a trip either way.
  • Vehicle trips: a trip logged with a Job can go on the job's travel in the same save (Add it to the job's travel). A trip for no job is never charged.
  • By road on quotes and invoices. The travel panel measures to the job's site or the customer's address. By road everywhere (jobs, trips, quotes, invoices) now uses Google Maps, the same measure as online bookings.
  • Charge it anyway on a quote or invoice, for a customer marked Never charged.
  • Remember this distance on a job's travel keeps the kilometres typed for the job's site, or the customer. The next trip there starts on it, and quotes and invoices offer it. Your own figure always comes first, ahead of By road.

Improved

  • GST on each line prints Ex GST, GST and Inc GST without a unit price column beside them, which repeated the amount. The price each sits under the description when there is more than one, and a GST-free line says so in the GST column.

Fixed

  • A part payment on a draft invoice marks it sent, so the rest is owing and chased. It used to stay a draft that nothing chased.
  • The customer's own booking page lists the travel above the total.
  • Vehicle trips: pressing the Job or Client heading no longer clears the one picked.
  • A booking's travel has its own card on the booking and in the calendar, instead of reading as an extra they added ("× 28"). The Day plan, the morning's list of things to get ready and the door list no longer count it.

Action needed

  • Owners: online booking travel stays off until you turn it on.

26 October 2026, travel charged by the kilometre

New

  • Charge travel by the kilometre. Turn it on in Settings → Invoicing & tax → Travel charges and set your rate per km, whether a trip counts one way or there and back, any kilometres included free on each trip, and the most charged on a trip. Each service says whether travel is charged on top of its price, included in it, or not charged.
  • Travel on a job. The job card's Travel section records each trip, shows what it charges before it is saved, and bills it with the job's work and parts. By road measures the distance from your address to the job's.
  • Travel on invoices and quotes. Add travel under the lines adds a trip at the customer's rate. Travel is its own line, with its own heading when labour and parts print apart, and can go to its own Xero sales account.
  • A customer's own travel rate, or never charged travel, on their record.

Action needed

  • Owners: to charge travel, turn it on and set your rate in Settings, Invoicing & tax, and choose for each service.

26 October 2026, visits and clock-ins

Improved

  • Staff can record their own breaks on the tablet and on their phone. Turn on Staff record their breaks in the timesheet settings. Everyone clocked in sees Clock out in red with Start unpaid break under it, and End break while they are away. A tablet that uses PINs now records breaks too.
  • The app now says clock in and clock out everywhere, including Clock out at on a shift (it said Clock off at).
  • Missing clock-ins this week (Timesheets, under the grid) replaces No-shows. Each rostered shift with no clock-in shows its rostered times and Add the shift, which opens with those times filled in, so a forgotten clock-in is put right in two presses.
  • A shift with only one end within the round to roster grace now pays the way your business chooses, under Round to roster in the timesheet settings: the whole shift as clocked, or each end on its own (how every business starts). Each option shows the sum at your own grace.
  • A timesheet day opens one at a time, says what it pays now and the times it was clocked, and closes with Cancel, Esc or a click anywhere else. The box for your own figure opens empty, so it no longer opens at a decimal such as 5.28 beside buttons in hours and minutes.
  • A day worked with nothing rostered is flagged. It reads Not rostered on the Timesheets grid and is listed under Worked with no shift this week with Check the hours. Approvals no longer approves it with the clean weeks.
  • Email the timesheet approvers when someone clocks in with no shift now also emails about somebody let in with no shift, not only somebody stopped.

Fixed

  • Somebody stopped for having no shift was told their manager had been notified when no email had gone. They are told so only when it has.
  • Somebody who worked yesterday and clocked in today with no shift was greeted Back on the clock.
  • Each shift's chip on an opened timesheet row now reads before rounding, matching the day box. It read clocked, while the row's Clocked meant the figure after rounding.
  • A week with one day settled now says how many punches still await approval, rather than only Paying the settled day.
  • Two shifts in one day: finishing the first no longer reads as leaving early and offers leave until the end of the day, and Next shift on My work no longer names a shift today that has already finished.
  • A visit scheduled on top of a team member's booking now says so wherever it is scheduled: a job's Add a visit, New job, Book several days, and the Schedule board on any date. Only the Schedule board warned before, and only for the day it was showing. The booking is named for anyone who can open the Calendar; anyone else is told only that the person has a booking then.
  • The permission Open jobs and schedule the team's visits now works on the job card: Add a visit, Book several days and Change on each visit appear for it, not only for managers. Supervisors get it by default on new businesses.
  • The kiosk's home and lock screens no longer rebuild themselves as they open. The clock on them was worked out in the server's timezone first, then the tablet's.

26 October 2026, Esc closes every window

Improved

  • Esc closes the window you are in, and only that window, everywhere: uploading or drafting a document, a licence and its preview, logging a service, requesting leave, adding tasks with AI, adding or importing your team, safety checks, a form response, a customer's money in Payments, and the rest. Several ignored Esc, and some let it close the screen behind them as well, with anything typed there.
  • Screen readers now announce each of these windows when it opens.

25 October 2026, a job's History, its files, and its profit

New

  • History on every job. At the foot of the job card: who did what and when, from its creation to its invoice being paid, with the emails the customer was sent about it and whether they arrived. An invoice in it opens over the job.
  • Files on a job. A supplier's quote, a report, a plan or a spreadsheet, kept with the job like its photos: Add a file, or drag it onto Files. Never sent to the customer.
  • Job profit with labour. What a job made after its parts and the time on it at pay rates, plus your super and on-costs. Only for whoever may see pay rates.

Improved

  • Bill this job and Quote this open over the job. Write the invoice or quote, save it, and the invoice opens over the job to send or take payment, without leaving the job.

  • Today's visit first. On a day with a visit still to do, My day is the first thing on My work, above the clock and your figures.

  • Links open faster. A link to a job, a customer, a booking or a piece of equipment opens it without loading the page a second time.

Fixed

  • A quote written from a job and saved straight away could lose its link to the job, so accepting it opened a second job. It always keeps the job now.
  • Esc in Sites for this customer or Use a part closed the whole job. It closes only that window, as everywhere else.
  • Back with an invoice open over a job closed the job. It closes the invoice.

Action needed

  • Owners: if you want job profit to include super and on-costs, set the percentage in Jobs settings, under Job profit.

25 October 2026, Jobs checked end to end

Improved

  • Back closes a job. Your browser's or phone's Back goes from a job to the board, Forward opens it again, and Back from a page the job led to returns to it.
  • Open their record and Open its history on the job card go straight to the customer and to the equipment's page.
  • My day leads My work for anybody sent out on jobs.
  • Jobs settings say when something is not saved yet. Categories, the rate, rounding, the timer limit and how work reads save with Save settings; the foot says Unsaved changes until they are, and closing asks first. Everything else in Jobs settings saves as you change it.

Fixed

  • No charge ticks the moment it is pressed.
  • Hours logged on the Work log reads 1h 30m, as everything under it does.
  • A job with no customer in To schedule says so, rather than a blank line.

25 October 2026, one way to change a status

Improved

  • Every record's status works the same way. A job, a task, a form response, a staff idea and equipment show their status once. Press it to choose another, and each choice says in a line what it does. Cancelling a job is last, in red, and still asks first.
  • Jobs show the next step beside the status: Mark done, or Reopen.

Fixed

  • A form response's new status shows at once and stays. It could flip back to the old one for a few seconds while the panel was still loading.

25 October 2026, job status

Fixed

  • Cancelling a job always asks first, and names any work and parts on it that stop being billed, and parts still on order. It used to cancel on one press when the job had no visits to come.
  • Done stops your own timer on the job, so its time is in before anything is billed, and asks first when somebody else's timer is still running.
  • Staff see a job's status rather than buttons they cannot press.

25 October 2026, labour and parts apart

New

  • Labour and parts apart on invoices. In Jobs settings, under Charging, Lines on invoices can head an invoice's lines Labour, then Parts, then Other, each with its own subtotal, before the usual totals. Every copy shows it: the email, the print, the customer's online copy and the invoice drawer. Rename Labour to your own word; Parts takes its name from Charging for parts. In the invoice editor, each line says what it prints under. New workshops, machinery repairers and trades start with it on.

Improved

  • Which receipt went, and where. Recording a payment, charging a balance, Get paid on a job and finishing a job that emails its invoices now say the document, its number and the address it went to, such as Receipt REC-0042 emailed to sam@example.com. The message carries an envelope and stays at least ten seconds.

25 October 2026, No GST charged on invoices

Fixed

  • Registering for GST later no longer changes invoices already sent. Each invoice and quote keeps the GST registration and ABN it went out with, on every copy, credit note and receipt, in the BAS worksheet, the exports and Xero.

Improved

  • "No GST has been charged." under the totals of every invoice and quote from a business not registered for GST, as receipts already say, so the customer knows there is no GST to claim.

25 October 2026, for next time

New

  • For next time. Note on a job what was found and not done (one per line, or paste a few lines from the notes). It is kept with the vehicle or machine, or the customer, comes back on their next job to tick Done or Not needed, and is printed on the job's invoice so the customer can keep track. The equipment's card and the customer's card list what is still open. Switch the invoice part off in Jobs settings.

25 October 2026, servicing made plain

New

  • Log this as its service, on the job card. A job on a vehicle or machine on a service schedule shows when its next service falls. Once the service is done, Log this as its service logs it on the equipment at the reading saved on the job, and the count starts again from there.
  • A customer's equipment says when it is due, on their card in Customers.

Improved

  • One Servicing section when editing equipment: what its meter counts, how often by time and by hours or kilometres, and when it was last done at what reading, together.
  • The equipment card says how the count starts again: logging a service.

25 October 2026, customer messages on your phone

New

  • A message from a customer reaches your phone. Every message a customer sends, from their booking page or by replying to an email, now arrives as a phone notification for everyone who can read Messages, once each. One notification per conversation, kept up to date with the newest message. Switch it off for your own phone on My work → What you get told about, on the messages from customers line.

25 October 2026, GST on each line

New

  • Ex GST, GST and inc GST on every line. For a business registered for GST, invoices, quotes and receipts show each line's amount ex GST, its GST and inc GST, adding up to the totals. On to start with; untick Show GST on each line in Settings, Invoicing & tax, to go back to one amount.

Fixed

  • Line breaks in a line's description (a job's work notes on the invoice) ran together. Each line now starts on its own line, as it was typed.

23 October 2026, a busy customer's record stays calm

Improved

  • Every list on a customer folds the same way. Jobs, Their equipment, Work done, Forms, Emails and Documents start with the newest five, and History with the newest ten. Show 10 more goes further back, Show fewer folds it up, and 15 of 240 says how far down you are. Older records are fetched as you reach them, so a customer with hundreds of jobs still has every one on their record. Booking and form email lists fold the same way.
  • Their equipment lists the one in for a job now first, then the one most recently in.
  • The Jobs heading counts open and on hold jobs apart, as the Jobs page does.

Fixed

  • Counts that stopped at what was read. Forms counted 50 and Emails 60 however many there were. Each count is now every record.
  • An open job older than the newest 200 was missing from a customer's Jobs and from its open count. Every open job is listed.
  • Work done on the same day came in any order. The last one logged is first.

23 October 2026, suppliers confirm purchase orders

New

  • Confirm order on an emailed purchase order. The supplier presses it, then confirms the order with a delivery date, their order number and a note, or says they can't supply it. No sign-in. The order reads Confirmed or Can't supply, a job's order says confirmed, due 28 Oct, and whoever raised it is told, with owners and managers.

  • Find a supplier by typing. The supplier on a new purchase order is a search box: type part of their name or email. New supplier adds one without leaving the order, with their email for orders and phone.

  • Orders say who ordered them. Every copy shows Ordered by with that person's work email, and the supplier's replies go to them.

  • Orders that arrive in parts. Receiving says how much of each line arrived, starting at 0, with All on a line and Everything arrived for the whole delivery. What hasn't come stays on order, still on its job, and the order reads Part received with Receive the rest until it all arrives or the rest is marked Not supplied.

Fixed

  • An approved order emailed to the supplier stayed Approved, and the drawer kept offering Email supplier as if it had never gone. It is marked Sent.
  • Receiving part of an order meant unticking what hadn't arrived, which marked it not supplied and took it off its job. It now stays on order.
  • Messages stay up long enough to read. A message now stays for as long as it takes to read it, a few seconds for Saved and up to twelve for a sentence.
  • Cancelling an order that had partly arrived took the arrived parts off their jobs too. It is refused; mark what isn't coming as Not supplied.
  • Some arrived and the supplier cancelled the rest. The line keeps what arrived (2 of 4 supplied): the part stays on its job at 2, and purchases, BAS and the bills export count the 2. A line not supplied used to count as nothing.

23 October 2026, Get paid's invoice names the job

Improved

  • Get paid's invoice says which job it was for. Like Bill this job's invoice, it lists the job, the vehicle or other equipment with its registration or ID, and the odometer or hour meter reading taken on the job. Extra booking time on the same invoice is counted as part of the job.

22 October 2026, taking payment from the job

New

  • Take payment on the job. Once a job's invoice is owing, the foot of the job card shows Take payment $…. It opens the invoice over the job with Record payment filled in, so a customer collecting their car pays by EFTPOS or cash and is emailed a receipt without anybody leaving the job.
  • Paid at the counter on Get paid. A booking's job can now be marked paid for a payment on your own EFTPOS machine, in cash or another of your ways to pay, as well as charging the saved card, handing over the phone or emailing it.
  • Bill this job goes on to the invoice. Once saved, the new invoice opens, ready to email or to record a payment taken on the spot.

Fixed

  • View receipt on an order opened from its job did nothing. It now opens the receipt, as it does in Invoicing.

22 October 2026, ordering parts for a job

New

  • Order parts for a job. Order parts on the job card and on My day opens a purchase order for that job. Every line for a job is a part on it the moment the order is saved, priced the way your parts are priced, so nothing ordered for a job is missed when it is billed. Each part shows its order and where it stands, such as PO-0012 · on order, and the job says 2 parts on PO-0012 haven't arrived until they do.
  • Every invoice email has View or print this invoice. It opens the customer's copy, where they can print it or save it as a PDF. It used to be there only for a business that takes cards online.
  • A receipt link with no receipt behind it (cut short, a removed test receipt, or links switched off) showed an empty page. It now says the receipt isn't available and how to reach the business for a copy.
  • Receipts no longer end by repeating their heading and ABN. A tax invoice ends Please keep this for your records.
  • Receipts from a business not registered for GST end with No GST has been charged. instead of a sentence about the business's registration.
  • An invoice for one job says which job. Bill this job's invoice now lists the job, its site, its vehicle or other equipment with its registration or ID, and the odometer or hour meter reading taken on the job. A bill for several jobs names each job's equipment in its heading.
  • Orders sent from the job. A new order opens over the job, ready for Email supplier, and every order on the job opens the same way from its chip: approve it, email it, mark it sent, receive it or cancel it without leaving the job.
  • One order, several jobs. For a job on a new purchase order picks the job, Add another job adds a second, and each line says which job it is for, or Not for a job for stock. An order for one job quotes its number as the reference.
  • Receiving keeps the job right. A job's line never goes into stock, a different price on the docket moves the part's cost and a price worked from it, and a line not supplied comes off the job. Cancelling, rejecting or voiding the order takes its parts off. A part already invoiced is never changed, and the screen says so.
  • Mark done, Bill this job and Get paid say when parts are still on order, and go ahead if you carry on.
  • New businesses' Staff can raise purchase orders. Only an owner or manager sends one to the supplier.
  • A new customer on New job. + New customer beside Customer types their name, company, email, phone and address into the job form, with their vehicle or other equipment, and Create job saves them all together. Somebody already on file with that email or phone is offered instead, so nobody is added twice. The job card's Customer has + New customer too, and Add a customer on the Customers page uses the same address boxes.

Fixed

  • An order raised before its supplier had an email could never be emailed: it kept saying to add an email after one was added to the supplier. It now uses the supplier's email, and an order whose supplier has none says so instead of greying out Email supplier.
  • Deleting or voiding a purchase order now takes the parts it ordered for jobs off those jobs, where they were left as if still coming.
  • Fill from your list to order was offered to people who can't read the list, and told them there was nothing on it. It is now offered to owners and managers.
  • Jobs settings open ready to use. Its switches were read one after another, so those near the foot stayed greyed for seconds. They now arrive together.

Action needed (if any)

  • Owners: to let your existing Staff role order parts, tick Raise purchase orders for it in Team → Staff list → Roles & permissions.

21 October 2026, job notes on the invoice

New

  • Jobs → Reports. Hours at work, hours logged and hours paid for, for each person, with the labour they earned and what it came to an hour beside your rate. Where every hour went (billed, in a fixed price, not billed yet, not charged, written off), week by week. The jobs that took longer than planned, and what each fixed price service earns an hour. For a month, three months or the financial year, and exported as a CSV. Needs See every job and everyone's logged work.

  • This month on My work. Under My work log, each person's own hours this month, split the same way. Hours only.

  • Reports replaces the Utilisation panel on the Work log. Time at work comes from clocking in where people clock in, and the roster otherwise.

  • The timer is on the job. Start on a visit starts the timer on its job, and Visit done or Mark done stops it and opens the entry with the job, customer and times filled in. Jobs on My day and the job card have Start timer too. Start timer on My work log asks what it is for first. On by default; switch it off in Jobs settings, Timers.

  • A timer stopped within a minute is not kept, and one stopped with nothing said about it shows Add details until it has them, instead of passing as time nobody is charged for.

  • The work logged shows with the job card notes. Under a job's Job card notes, From the work logged lists the note on every entry of work, with its day and who logged it. Press one to open its entry.

  • Copy job card notes in now brings the work notes too, each piece of work as a bold heading over its lines as a list, then the job card notes, ready to tidy into what the customer reads.

  • Formatting for invoice and quote notes. Bold, italic, bulleted and numbered lists, on an invoice's or quote's Notes and a job's Invoice notes. They print as they look: emailed, printed and on the customer's page. See Invoicing, 7p.

  • A booking's price pays for the work on its job. Time logged on the job of a priced booking starts Included, never billed again; tick Chargeable to the customer for extra work the customer agreed to. A service whose price is a call-out fee can be set to Charged on top, under Work behind the booking.

  • The job card shows the booking's price and what has been paid on it.

  • A quote on a job is billed from the job. When it is accepted, its priced lines go onto the job's Parts, the quote shows Open JOB-… instead of Convert to invoice, and time logged for the quoted work is Included.

Fixed

  • Someone who may raise purchase orders but is not a manager found no suppliers on a new order, so it was linked to none of them: no part numbers, no last prices, nothing pulled from To order. They now choose from your suppliers.
  • Invoicing and Purchase orders open faster: what they need arrives in one read instead of several one after another.
  • A page left open across an update had every button fail with its own "try again" (Book several days said it could not lay out the days). The page now says This page has been updated. Refresh to carry on. with a Refresh button.
  • An accepted quote with a job could be billed twice: once by Convert to invoice on the quote and again by billing the time and parts on the job.
  • A booking's job could be billed twice for one visit. Get paid took only the parts, and the hours went out later on a second invoice from Bill this job, on top of the booking's price. Get paid now takes the extra work and the parts onto the booking's one invoice, and Bill this job is not offered beside it.
  • A job's To bill could differ from its invoice at a business that rounds time or gives a customer % off labour: each entry was rounded on its own and the discount left off. The job, the jobs board and Ready to bill now show what the invoice charges, and the job says how, such as As invoiced: each day's time rounded to the nearest 6 minutes.
  • A receipt for an invoice said its number twice, under For and Reference.
  • Saving an invoice now marks its work and parts billed in the same step. A tab closed straight after saving could leave its parts unbilled, ready to be charged again.
  • Work saved straight away could save as internal. Log work now waits for the job's details before saving (Loading the job…), so new work starts chargeable, or Included on a booking's job.
  • Log work fills in the job's equipment, such as the vehicle, so a reading and Count this as a service go on it without finding it again.
  • On a phone, Log work's How long box was squeezed beside Started and Finished and cut off what was typed. It now has its own row.
  • A job its booking pays for said 0m chargeable under Hours. It now says in the price, or names the extra work.
  • Work logged from a job could start as internal. With no kind of work picked, a new line was unticked and never billed. Logged from a job with a customer, it now starts on the first kind of work that is charged, with the tick on, unless the job is marked No charge.

20 October 2026, Xero, bank payments, billing a job

Improved

  • Bill this job opens the invoice filled in. It used to open a blank invoice with the job's work in a list to add. Now the customer, their order number from the job's quote, their terms and due date, every line ready to bill and the job's invoice notes are already on it. Check it and save or send.

New

  • Each customer has their own contact in Xero. Documents used to reach Xero by the customer's name, so two customers with one name shared a Xero contact and the second one's email replaced the first's. Each customer's documents now go to their own contact, found or made the first time; a second customer with the same name gets a contact named with their email. Nothing to set up.
  • Recorded from a bank statement. Under Which Xero account each payment goes into (Finance → Accounting & reports), each imported bank statement account has a row of its own. A payment recorded from that statement's line goes to the Xero bank account chosen there, the one whose feed shows the same deposit. Left as By its way of paying, nothing changes.

Fixed

  • A line taken off a saved invoice left its work marked billed, charged to nobody. Each line now keeps the work it bills, and taking one off a draft gives that work back to To bill on its job; the save says how many entries went back. Lines saved before this give nothing back, as before.
  • A sent invoice from an earlier GST period could have its prices rewritten, changing a period that may already be on a BAS. Once that period has ended, what it charges stays as issued: record a credit note (issued as an adjustment note) for the difference, or raise a new invoice for anything extra. Its notes, order number and due date can still be changed, and inside its own period it can still be corrected and re-sent.
  • A discount on an invoice with GST-free lines reached Xero as one taxable line, so Xero's GST was lower than the GST on the customer's tax invoice. It now goes as a taxable and a GST-free discount line, in the invoice's proportion.
  • A refund's credit note carried the invoice's date, so a refund made in a later quarter landed in a period already lodged. It is now dated the day of the refund, and on an invoice with GST-free lines only the GST that was charged is reversed.
  • A reimbursement with less GST than a full tenth (part of the receipt was GST-free) claimed a full tenth in Xero. It now claims the GST on the receipt.
  • Sending timesheets to Xero could say every person's hours had changed since the weeks were locked when the hours simply could not be worked out at that moment. It now says so, sends nothing, and asks to try again.
  • An invoice or payment sent to Xero twice at once (two tabs, or a press while the automatic sync ran) reached Xero once but could keep an error saying it had not. It now reads as sent.
  • A line taken off an invoice before saving still had its work marked billed, charged to nobody. Only the work on lines still on the invoice is marked billed now; anything taken off stays to bill.
  • An invoice drafted by the assistant had no email address, so it could not be sent or chased until one was typed in. It now has the customer's.

Action needed (if any)

  • Businesses with more than one bank account that send payments to Xero: choose the Xero account for each statement account under Recorded from a bank statement.

20 October 2026, Jobs board and customers

New

  • Late. A Late chip beside Open gathers the work that has slipped: a visit day that went by without being ticked off, a planned day that went by without a visit, or a passed Due by date.
  • On site. When somebody presses Start on today's visit, the job's row says On site and since when, until the visit is marked done.
  • Who and when. Beside the find box, Everyone narrows the board to one person or to Nobody yet, and Any day to Today, Tomorrow, the Next 7 days or No day yet.
  • Columns on a computer. The board reads as Job, Customer, Next visit, Status, Hours and Value. Press a heading to sort by it.
  • What each job is worth. Every row shows its value so far, labour and parts, and what is still to bill.
  • Open a job from a customer. On a customer's card, each Work done entry on a job names its job number and opens that job's card.
  • A customer's History opens what it lists. Press a booking, invoice or quote to open it. Bookings show a calendar and your own word for a booking.
  • A customer's jobs. A customer's card lists every job for them, work still to do first, each with its status, equipment, who and when, and value. Press one to open it, or New job to start one with the customer filled in.
  • What each vehicle is in for. Under Their equipment, a piece with a job open shows it, and one with nothing open offers + New job for this.
  • What a customer owes. The top of a customer's card shows what they owe now and what is overdue, the same figure as their line on Money owed.
  • Print a service history. Print on a piece of equipment's Service history gives a Summary or the Full history of every job and service on it, with amounts only when you tick Show amounts.
  • Send the roster to anyone. Press a person's name on the roster and choose Email Sarah their week to send just them their week again, to every address on their team card, or Send Sam a note for somebody with no shifts. The publish panel now lists everyone on the week, so you can pick anyone, with Select all and Clear for each group. Each person shows when they were last sent the week, and Not delivered in red when it did not arrive. Publishing and sending a week again are in the activity log.
  • Choose which jobs a form goes on. A form your team fills in on jobs now has Which jobs: every job, jobs on equipment of the kinds you pick (such as a vehicle inspection on every Vehicle job), or only jobs it is added to. On a job, Add a form puts any other form on it and the ✕ takes one off, until something is filled in. The top of a job's Forms says how many are done. Forms already set up stay on every job until you change them.
  • Work logged on a job. Each entry on a job card is a line with its date, who, the work, its start and finish, hours, rate, amount and status: To bill, Billed with the invoice number, Internal, Written off, Check timer, Needs a rate or Awaiting approval. A total line sums the hours and money. Press a line to open that entry and change it; someone else's, or a billed one, opens to read.

Improved

  • Payments made in Xero are never counted twice. Copying payments back from Xero now links a payment recorded here whatever day it was reconciled in Xero, treats a booking's deposit reconciled in Xero as the deposit, and copies only what Xero shows paid beyond what is recorded here. Anything it cannot be sure of is held, and the invoice says why.
  • Copy payments made in Xero here starts on for a business connecting Xero for the first time. A business already connected keeps its own choice.
  • Xero needs reconnecting is said. When a Xero connection stops working, the bell and the daily email say so to those who can reconnect, and Accounting opens with a Reconnect Xero button. A moment when Xero does not answer no longer switches a working connection off.
  • Opening a work entry is quicker. Everything the entry needs is read in one go, so its fields fill at once and Save is never left waiting.
  • Money owed is by customer account. It groups what is owed by the customer record, as accounting software does, instead of the name typed on each booking or invoice, so a parent's bookings for their children are on one line. The name on an item shows beside it, and an item opens to their customer card. Remind emails the statement to the email on their record.

Fixed

  • The Jobs board shows the time of the visit. A visit moved on the Schedule could still show its first time on the board, such as 8:30am for a visit now at 11:20am. Each row now reads its next visit day and time from the Schedule.
  • A visit day that went by is said. When nothing is booked ahead and an earlier visit was never ticked off, the row shows that day in orange with not marked done, instead of in the same colour as work still to come.
  • Open and On hold read in the order of the day. Jobs on the same day are ordered by their visit time, so 7:30am comes before 9:00am.
  • A customer's hours count every entry. Work done on a customer and the printed customer pack added up only the newest 100 entries. Both now total every entry and say when only the newest are listed.
  • A job billed in full says All billed. Its To bill figure said $0.00 and the bar along the bottom said Nothing ready to bill yet.
  • Hours on a job read in hours and minutes, such as 12h 15m, instead of a decimal hour.
  • A timer stopped automatically no longer looks billable. Its amount is in grey until somebody checks it, matching To bill, which already left it out.
  • Work waiting for approval is left out of To bill on the job card and the Jobs board, as Bill this job leaves it out.
  • A billed part's Billed label sits on its row in the parts list.

19 October 2026, Search and paid balances

New

  • Videos on a job. Record a video of up to 30 seconds on a job, with sound, so a motor running or a noise can be heard, or add one already on your phone. It plays on the job, and goes to the customer with the photos when you tick Customers can see these photos and videos.
  • Search by any number or code. The magnifying glass in the top bar (or ⌘K) now finds equipment by registration or ID, serial number or VIN; jobs by job number; stock by part number, SKU, supplier's number or barcode; your customers' records (pets, children, students) by name; sites and billing addresses; suppliers; members by the reference on their card; and bookings by an event ticket's reference. Spaces, dashes, capitals and leading zeros are ignored, and the end of a code is enough.
  • The top match shows the whole picture. When what you typed clearly points at one record, it opens as a card: a vehicle with its owner, next service, open jobs and what the owner owes; a customer with their bookings, jobs, equipment and records; a dog or child with its alerts first. Each card has the next thing to do: New job (customer and equipment filled in), New booking, New invoice, Log a service, Bill this job, Call or Text. Every part of a card follows your own permissions.
  • Why a job is on hold. Pressing On hold on a job asks why, from your own list (Jobs settings, On hold) or in your own words. The reason shows on the job, the Jobs board, the Schedule's To schedule tray and the printed card.
  • Print job cards. Print on a job prints its card for the bench or the van, with no prices: the job, customer, site, equipment, visits, notes, parts, the work so far, lines to write on and a place to sign. Print job cards on the Schedule prints every job on the day, one page each.
  • What the parts made. Under a job's parts, owners and managers see what they cost, what they are charged at and the margin, inc or ex GST.
  • A docket's own total checks its lines. Reading a docket photo now reads its total too, and Enter a docket says whether the lines match it as you correct them, so a quantity or price read wrongly is caught before it becomes a part's cost. A photo that does not check out is read again automatically, still one use of your allowance.
  • Booking balances paid online. When a customer pays what is left from their booking page or a payment link, owners and managers are told in the bell, and by email when it follows a declined card. The could NOT be charged line for that booking comes down, and does the same when the automatic charge works later or the balance is recorded paid by hand.

Improved

  • A customer in the results opens their record, not a list filtered to their name.
  • Invoices in the results show their total and what is owing; bookings show the time, what was booked and where.
  • N more in … opens that area already searched, for Equipment, Jobs, Invoicing, Expenses, Stock, Suppliers and Members as well.
  • Members can be searched by the reference on their card.
  • A customer's and an invoice's ABN are searched too, and a phone number or email on a customer and on their bookings lists the customer first, with their card.
  • Payments made on the booking and invoice payment pages now say who and what on Stripe, such as Balance · Sam Lee with the booking reference, the same way the automatic balance charge does.
  • Reconcile with Stripe names who every payment was from, filling in from your own records where Stripe holds no description. Its CSV also gives each line's Stripe reference, to paste into Stripe's search, and the Name on card, who actually paid.
  • Jobs opens faster. Jobs, Schedule and Work log arrive with their first page of work instead of fetching it after they open, and a link to Schedule or Work log opens straight on that tab. The tab you used last is remembered.
  • The Work log opens on Last 7 days, so it is never empty on the first morning of the week.
  • Out of signal, the app says so. With no connection a bar says No connection, and anything that could not be saved says so, instead of a press that did nothing. Work from your phone in the manual covers working out of range.
  • Help always answers. A question that needed a lot of looking up could end with "Sorry, I couldn't come up with an answer". It now answers from what it found, and the assistant and scheduled questions do the same.
  • On a job card, Worked (the days with time logged) replaces the figure that was called Visits, so it is not confused with the visits booked on the Schedule. Hours counts every hour on the job and names the chargeable part when some was internal.
  • Each Work log entry names its job number and equipment.
  • Amounts in the line about finished work with no customer, and in several other messages, are written the same way as everywhere else, such as $3,910.00.

19 October 2026, Xero payments and engine hours

New

  • A sales account for labour, parts and bookings. Sales account by kind of line, under Sales account in Accounting & reports, sends each kind of invoice line to its own Xero sales account. The Xero and MYOB exports follow it too.
  • Invoices approved in Xero, as a choice. Invoices arrive in Xero as is Drafts to approve (still the default) or Approved. Voiding an approved invoice here voids it in Xero.
  • Send payments to Xero. With Approved, each payment taken here goes against its invoice in Xero, into the account chosen for how it was paid. Never twice, and a voided payment is removed there.
  • Copy payments made in Xero here. A payment entered in Xero comes back onto its invoice here, marked Recorded in Xero, with no receipt emailed. Check Xero now does it on the spot.
  • Service by hours or kilometres. Equipment can have a meter (an hour meter or an odometer) and be serviced every so many hours or kilometres, as well as by the calendar: whichever comes first decides. Readings come from the equipment's card, the job card, Log work, Log a service and Import on Customers, and the use per day estimates when the next service falls. Reminders, the digest and the register all count it.
  • Machinery repairs, a new kind of business at sign-up: farm machinery, earthmoving, forklifts, small engines and marine. It starts with Machines, services done where the machine is, a Machine inspection and a Quality check.

Fixed

  • Editing an invoice raised from several jobs kept its lines but lost which job each came from, so its job sections disappeared. They now stay.
  • What the automatic Xero sync sends by itself now appears in Settings → Activity log, by Automatic Xero sync. It was missing.
  • Editing equipment that had never been serviced filled in today as its last service, so saving any change recorded a service that never happened. It now stays empty until a date is entered.
  • The morning digest listed equipment with no schedule ("just track it") as overdue every day, and retired or stored equipment too. It now follows the same rule as the register.
  • Log a service stayed on "Saving…" after a refusal. It now says why and can be pressed again.
  • A customer's equipment shows its identifier as Registration or ID, not "Asset tag", and the Customer equipment tile says Warranty or service plan ending, which is what it counts.
  • Import on Customers reads Engine hours (or Hours, Hour meter) as the machine's first hours reading, and PIN as its serial number.
  • The search's Go to shortcuts offered every area, including ones switched off or not open to your role. They now show only the areas you can open.

Action needed (if any)

  • Owners who want payments sent: tick Send payments to Xero, save, then Reconnect Xero once to give Xero's permission.

18 October 2026, The job card, and parts bought for a job

New

  • A parts table. With parts in detail, the Stock list is a table of part number, description, bin, supplier and on hand, with cost and sell price for managers. Sort by any heading, see the best match first while searching, filter by category, fifty to a page.
  • Kits. A set of parts and labour codes, kept on the Stock list and added to a job in one go with Add a kit.
  • Multipliers by cost. A multiplier by what a part costs, for every part or one category.
  • Trade price levels. Up to three, by cost × a multiplier or a % off; choose a customer's level on their record.
  • Labour codes, serial numbers, part details, parts whose quantity isn't counted, and comments for the invoice and the job card.
  • Stock value, under More on the Stock list: what is on hand at cost and at its price, by category.
  • Licence and registration numbers on your documents. In Settings → Invoicing & tax → Invoice & tax details, add each licence or registration and choose whether it prints on invoices, quotes and receipts. It shows under your ABN.
  • A warranty on your invoices. Write your own warranty terms and choose whether they cover goods, services or both. Each document then carries a Warranty section: your terms, who to claim from, and the wording the Australian Consumer Law prescribes.
  • A job opens full screen, as a job card. The job, its parts, its work and its notes take the main part of the screen, with its visits and what there is to bill down the side. Jobs, the close button or Esc go back to the board.
  • Parts as rows. A job's parts are one row each, like an invoice's: part number, description, quantity, cost, RRP, price, GST, total and a Stock tick. Type or scan a part number, press Enter, and the next empty row is ready. Everything changes where it is, and the price says where it came from (× 1.25, RRP, fixed or own).
  • Bought for this job. Untick Stock and type what you paid and the RRP off the docket: nothing comes off the shelf, and it is charged at its multiplier on what you paid, at the RRP, or at your own price. The part keeps the new cost and the RRP, and sells the way you charged it. A part number not in your list can be added to it as it is recorded.
  • Job card notes and invoice notes. A job's notes are for the team and are never printed. Invoice notes are what Bill this job puts on the invoice, and Copy job card notes in starts them from the job card's.
  • Sell a part at its RRP. In Stock, a part can sell at its RRP as well as by multiplier or at a fixed price.
  • Enter a docket. On the Stock list, a supplier's docket goes in one row a line: supplied, back ordered, paid, RRP, and whether it is for stock or a job. Read a photo of the docket fills the lines in to check, iPhone HEIC photos included, and Take a photo uses a laptop's webcam or any camera on the device. It is saved as a purchase order that has arrived, and back orders show as on order.
  • iPhone HEIC receipts are read by Read the receipt for me in Expenses.

Improved

  • Stock & ordering has four pages, each its own item under Stock in the menu: To order (the list, or the name you gave it), Stock list, Purchase orders and Suppliers. They were two tabs on one page, with purchase orders under Finance and suppliers in a drawer.
  • Inc GST or Ex GST on Jobs. A GST-registered business chooses how every amount on Jobs reads, from each part's cost to the To bill figure, and the Stock list's parts table follows it. The choice is remembered on each device.
  • Reorder. The Stock list's low stock line is one line however many items are low, with Show them and Reorder. Reorder lists every low item by supplier, with on hand, reorder level, how many to order (changeable) and what is already on the list or on order, then adds the ticked ones to the list or opens a purchase order for a supplier. Review on To order opens it too.
  • Suppliers is a page of its own: search the book, see each supplier's lines on the list and items they supply, and open one to order online, email, call, raise a purchase order or change their details.
  • Order from the list. Grouped by supplier, Purchase order opens a new order for that supplier with their lines from the list already on it.
  • Purchase orders are also Stock → Purchase orders, the same list as Finance → Invoicing.
  • The buttons on To order and the Stock list are fewer: the rarer ones are under More, Settings included, and Clear N bought sits on the Bought section.
  • We buy in person, in Settings, shows or hides Go shopping. Automotive businesses start with it off.
  • The Shopping list module is now called Stock & ordering, and the two permissions View stock & ordering and Manage stock & ordering. Each role keeps exactly what it could do before. The staff tablet tile is To order.
  • Track parts in detail is switched in Settings → Modules, under Stock & ordering, and turns the module on too when it is off.
  • Export CSV and Import CSV on the Stock list are under More.
  • A new part starts as Saleable when parts are tracked in detail.
  • Where a part's price comes from is clearer. The business's usual multiplier shows as × 1.25 usual under the price, and More says in words which multiplier applies, rather than showing it as grey text in the box. Clearing a price and moving on brings back the worked out price, and a part with no price is no longer added at $0.00.
  • An invoice's notes keep their line breaks while being written.
  • Suppliers are typed, not picked from a list. On a part bought for a job and on a docket, the supplier book fills in as you type, and a new name is added to it when saved. A part starts on the supplier it was last bought from.
  • Each part row says More and has its own cross to take it off, and the word under its price changes how it is charged.

17 October 2026, Billing the same work once, and a neater My day

New

  • Track parts in detail. Switch it on in Stock settings (Automotive and Trades businesses start with it on). Each part gets its own part number, a brand, a bin, barcodes, a GST-free tick, and every supplier it comes from with that supplier's own number and last cost. Search finds a part by any of those numbers or a barcode, even with none on hand, and shows how many are on order. On a job a barcode scanner picks the part, which keeps its number on the invoice line. Importing a parts list updates the parts you already have by part number.
  • Price parts by multiplier. With parts in detail on, each part sells at its cost × its own multiplier, its category's, or your usual one, or at a fixed price. Cost and price show ex and inc GST, and either can be typed. A new cost re-prices the part, or keeps its price if you turn that off in Stock settings.
  • Order parts by part number. With parts in detail on, a new purchase order has Find a part, which orders the part under the chosen supplier's own number at what they last charged. When the order comes in, each part's cost becomes the price paid, and a line that is not one of your parts yet can be added with Add to your parts.
  • Discounts. Turn on Percentage discounts in Settings, Invoicing & tax. A customer can have a usual % off their parts (and their labour, if you choose), and any part on a job or line on an invoice can take its own % off. Customers see only the lower price.
  • Parts as one total. In Jobs settings, Parts on invoices can show a job's parts as one line, such as Parts (6 items), instead of one line each. It can be changed on any one invoice in Add unbilled work.
  • Prices excluding GST. A business registered for GST can choose, in Settings, Invoicing & tax, to show prices on invoices and quotes excluding GST: each line ex GST, then the GST, then the total. GST is worked out line by line, as Xero does.
  • A new Automotive business starts with the workshop's choices made: parts in detail, staff recording parts on their jobs, discounts, and prices excluding GST. Each can be changed in settings. A part's multiplier is set on the part.

Improved

  • My day shows each job as its own card, with where it stands in the corner and Mark done always last, on the right. A job already done or billed no longer offers Start or Running late, and no longer shows a faded button.
  • The same work logged twice is pointed out before it is billed twice. Log work says who else logged the job that day, Add unbilled work marks an entry somebody else also logged, and anything you leave unticked asks Bill it later or Write it off. On Ready to bill, a job already invoiced says so, lists what is still waiting, and offers Write off.
  • Your rostered hours sit beside your punches. On My work, This week shows each day so far with what you were rostered under your clock-ins, and a rostered day with no punch reads Not clocked.

Fixed

  • Filling a purchase order from the shopping list keeps what is already on it. It replaced every line, so a line typed first was lost.
  • A job reached through its visit shows the customer. A finished job, or one a colleague holds, showed its number and name on My day with no customer, phone or address.
  • Settings panels fit the window. On a shorter screen the Timesheets settings ran past the bottom, so the last settings and their Save could not be reached. A panel now opens no taller than the room it has, and scrolls inside.

16 October 2026, Tidier lists and phone notifications

Improved

  • Logged time reads in hours and minutes everywhere, such as 1h 30m logged, on a booking's Work card, a customer's work history and unbilled work, Jobs, utilisation, My work, equipment and approvals.
  • Typing a bare number says how it was read. 10 in How long is ten hours, and the line under the box now says so and how to mean ten minutes (10m).
  • Columns line up in every list. Invoices, quotes and receipts, customers, bookings, booking approvals and requests, payments, memberships and your plan's invoices now keep each column in the same place on every row. Amounts are right-aligned so the figures sit under each other.
  • A missing detail is said. A customer with no email or phone reads No contact details, and a booking request with no date reads No date.
  • The button on bookings, customers, invoices, faults and form submissions now reads Add. Its options are Task, File, Quote and Invoice. File (it was Document) uploads a signed form, contract or photo and keeps it in Documents against the record.

Fixed

  • Time logged on a booking before its job existed now joins the job. Making the job afterwards used to leave that time off it, so the job read 0h.
  • Turn on for this device did nothing on some Android phones. Opened from the business's own address, the button waited forever with nothing on screen. It now switches on wherever the app is opened, shows Turning on… while it works, and says why if it can't.
  • Amounts of $1,000 or more show the comma everywhere, such as $1,835.00 ready to bill on Jobs, and on bookings, payments, customers, memberships and My work.
  • Today's schedule on the dashboard is in time order. A 7:30am drop-off was listed after the 9am ones, and a single customer read 1 customers.
  • A form on a customer's record opens that submission. It used to open the form's whole list, where the one you wanted had to be found again. The bell, the new submission and overdue emails and a Messages conversation now open it too.
  • Archived form submissions can be read. Press one under Archived to open it, print it or Restore it. Following a link to one opens it there. A question left blank reads Not answered, as it does on the printed copy.
  • A task made with Add opens its record. The chip on the task goes to that customer, booking, invoice, fault, job or form submission, not the list it is in. A job's follow-up task linked to a page that did not exist.
  • Forms on a customer's record line up in columns, so the status and date sit in the same place on every row.
  • Adding a supplier from a stock item takes their email too, so a purchase order can be emailed to them straight away. An email that isn't a real address is refused, here and in the supplier book, with the reason under the field.
  • The shopping list's settings use your own name for it, such as Parts order settings, and say low stock is added to that list.
  • A drop-off service no longer shows customers its work time. On your booking page it reads Ready from its collection time, such as Ready from 4:30pm, where it used to say how long the work takes.
  • A one hour visit on the Schedule reads clearly. The name and the time no longer squash into each other in a short block.
  • A customer's car no longer offers Check out. Lending something to your team is for your own equipment.
  • A service that takes no deposit no longer shows a red Unpaid deposit. Every booking for it read Unpaid under Deposit, which nothing could clear. It now reads No deposit.
  • A customer's visits no longer count a booking twice. An invoice raised for a booking was counted as a second visit, so a customer who came in twice read 4 visits. Each booking is now one visit, invoiced or not.

15 October 2026, Send files in Messages

New

  • Attach files to a reply. The paperclip in a conversation adds PDFs, photos, Word, Excel and PowerPoint files, and Pages, Numbers and Keynote files. They reach the customer as attachments and show in their booking's chat. Up to 10 MB each, five on a message.
  • Attach from Documents. Choose a file already in your Documents, such as your menu. Only documents you may open are offered, and the customer gets a copy.
  • Send an invoice or quote from a conversation. The paperclip lists this customer's invoices and quotes; Send emails one exactly as Invoicing does, with its Pay or Accept button, and the conversation notes that it went.
  • Answer from your own email with a file. A reply to a customer's email that carries a file now goes on to them with it, and is kept in Messages.
  • Their files reach your inbox. The copy of a customer's emailed reply now carries their files as attachments.

15 October 2026, A new look for every email

Improved

  • Every email has one clean layout. Your logo and business name sit above a white card, your colour is on the button and links only, and your name and address are in the small print underneath. The same for confirmations, receipts, reminders, form replies, campaigns and team notices.
  • A message to a customer reads as a letter. Hi and their first name, your message exactly as you wrote it, then your first name and the business name. With replies by email on, a small line underneath says they can reply.
  • Invoices, quotes, receipts and orders match. The emailed copy opens with your logo and name above it and the greeting inside it, like every other email. Receipts now carry your logo and colour. The coloured line across the top of the document is gone, on every copy.
  • A light brand colour stays readable. When white words would not show on your colour, the button's words are dark instead, the Pay now button included.

Fixed

  • Email me an example in Settings showed the markup of a link, such as Add to your calendar, instead of its words.
  • A customer's emailed file is named in the alert and the copy. A reply saying "attached" arrived with no file in the email and no word about one. The file was in Messages; the email now says which, and where.

15 October 2026, See whether an email arrived

New

  • Emails on a form submission. Every email sent about a submission is listed on it: your replies with what you wrote, the automatic acknowledgement and the link to update their answers, each marked Delivered, Sent, Didn't arrive or Not sent, with the reason.
  • Emails on a customer's record. Everything the app has emailed a customer, newest first, with whether each one arrived. Each email shows only to people who may see what it was about.
  • Emails on a booking. The booking drawer lists the emails sent about it and whether each arrived.
  • Customers reply by email into Messages. Switch it on in Messages, and when you message a customer or reply to a form, their emailed answer lands in the conversation, attachments included, with a copy to your business email. Answering that copy from your own email sends it to them and keeps it in Messages too. Every conversation stays together, however long the gap.
  • Told when an email didn't arrive. When an email to a customer bounces, or isn't sent because the address bounced before, the bell says so, once per address per day, and opens what it was about so you can fix the address.

Fixed

  • A reply to a form submission is now tracked. It went straight out with no record of whether it arrived, and was sent even to an address that had bounced before. It now says Reply sent, Reply waiting to send or Not sent, with why.
  • Invoices and receipts that bounced read as sent. An email that bounced back after it had gone still showed Sent. It now shows Not delivered with the reason.

15 October 2026, Booking lengths to the minute

Improved

  • Change how long a booking runs, in quarter hours or to the minute. The list under How long goes in quarter hours for every service, including one priced by the hour, and Another finish time takes any time, such as twenty minutes over.
  • Priced by the hour, charged for the time. The price follows the length to the minute: twenty minutes over a $55 an hour booking adds $18.33, not another hour. On a booking paid in full it goes on the draft invoice for what was added.
  • Visit lengths in quarter hours. Scheduling a job visit offers every quarter hour up to 12 hours, instead of jumping from 2 hours to 3.
  • A booking's visit changes the booking. Making the visit a booking put on the Jobs Schedule longer or shorter (in its sheet, by dragging its bottom edge, from the job, or with Adjust on My work) now changes the booking's length and price, with the total shown before you save. It used to change only the person's plan, so the customer was never charged for the extra time.

14 October 2026, A customer signs on your phone

New

  • Hand over your phone to sign. A form your team fills in on a job or a booking that has a Signature question opens on a screen of its own, headed with your business, with a larger signature box and nothing else of your business on it. Questions marked Staff only are answered first, then Hand to the customer shows only theirs.
  • Save and send. On a form set to send, saving an entry the first time also emails the copy, so it is never left unsent.
  • Invoices go when the job is done. Switch on Email the booking's draft invoices when its job is marked done in the Jobs Settings, and marking a booking's job done emails its draft invoices, such as extra time added to a booking paid in full. Whoever marks it done is told what went, and anything not sent is named with the reason.
  • One invoice layout everywhere. The emailed invoice, the copy you print or save as a PDF, the invoice your customer opens online, the online quote and every receipt are now one document: what it is and its number, the key dates, From and Bill to, the amount due in its own box with the Pay button, the lines, the totals, payments received, how to pay, then terms and notes. Every copy shows your logo and your note, and they all say Amount due and Amount paid.
  • Get paid at the end of a booking. Extra time and parts used go on one invoice. When the job is marked done, Get paid offers to charge the card they booked with, hand your phone to the customer to pay by card, or email it. Set per service under Payment to book, Anything added by the end.

Improved

  • The customer's copy shows their signature, in full, instead of the word "Signed".
  • Mark done on My work no longer tells an owner or manager that their manager will be told.
  • A form on a job or booking says only where it stands: To do once it is due, Done once filled in, and nothing before then.
  • A booking's job is a button. Open JOB-0002, first on a booking's Work card, opens its job, where its forms, photos and Done are.
  • Not logging hours. Your team logs the hours they work, first in the Jobs Settings, can be switched off. Jobs keep their forms, photos, parts and Done; Log work, timers and hours go everywhere. Hours already logged still bill.

Fixed

  • The invoice for extra time asks for all of it. An invoice for time added to a booking paid in full was credited with what the customer had paid for the booking, so four extra hours on a $110 booking read as $110 due instead of $220, and extra time smaller than the booking read as already paid. The booking's payments now count only towards the booking, and that invoice no longer keeps the booking's receipts out of Xero.
  • Paying a booking no longer marks its other invoices paid. A booking paid in full, or its balance charged, marked every invoice on it paid, including one for something added; paying that invoice marked the booking paid.
  • A draft edited past your approval amount waits for approval. The rule was only checked when an invoice was raised.
  • A late cancellation fee comes only from a card kept with a deposit.
  • The online invoice now shows your note and the payments already received, as the email and the printed copy always did. "How to pay" is no longer printed twice, and the printed copy no longer adds its own "Thank you for your business" under yours.
  • A receipt for an invoice payment says which invoice it is for, rather than calling the invoice number a receipt number.

13 October 2026, Booked before? says the code comes by email

Improved

  • No waiting for a text. Booked before? accepts a mobile number, and the code always comes by email. The button now reads Email me a code, a line says the code comes by email and not text, and once sent the box leads with Check your email.

13 October 2026, Message a customer about their booking

New

  • Write to a customer first. Open a booking and press Message: a new message to them, about that booking, opens in Messages. They are emailed it and can reply from their booking. The assistant can do the same, after you confirm its card. The usual closing time applies, from the booking's date.

Improved

  • The email says what it is. A message you start reads as a message about their booking, not as a reply to something they sent.
  • The assistant's card names a customer's email address only to somebody who may see contact details, as Messages does.

13 October 2026, Agreements signed before payment

New

  • An agreement on the booking page, before any payment. Any agreement can now be set to While booking, not only one signed every booking. It is signed after the date and your booking questions and before the payment page, so a client who does not agree can stop without paying.
  • Returning clients don't sign again. An agreement signed once or every few months stays on file. A client who uses Booked before? sees it as signed on the date, with Read it and Sign a new copy, and goes straight on.
  • The client's forms on the job. A job made from a booking shows that booking's signed agreement and answers under Forms, From the booking, on the job and on My work.

Improved

  • A printed signed form reads whole. The PDF and the copy filed in Documents carry the agreement's terms, each section heading's own text, and the booking's date, time, address, phone and total. The date reads Signed.
  • A bigger box for the terms. A form's description grows with what is in it.
  • A switched-off form says so where it is set up. The booking settings at the top of a form show This form is switched off, so nothing asks for it yet, with Switch it on, instead of leaving it to the switch at the end.

Fixed

  • A copy of the agreement before the payment. On a booking paid at checkout, the client's copy of what they signed went out the moment they pressed Pay, so someone who stopped at the payment page still had one. It now goes once the payment has gone through.
  • Section headings in a row went missing. A heading with no question under it was treated as empty and hidden, even when it had text of its own, so an agreement written as a run of headings lost most of its clauses on screen. A heading with its own text now always shows.

13 October 2026, The BAS worksheet opens where you lodge

New

  • Tell the BAS worksheet once how you report GST. Under Settings → Invoicing & tax, a GST-registered business sets How often you report GST (monthly, quarterly or annually) and Your GST basis (cash or accrual). The worksheet opens on your last finished month, quarter or year, on that basis, instead of a quarter on cash every time. Pick the other ones on the worksheet and Remember saves them from there.

Improved

  • The worksheet moves on once you have closed a period. It still opens on the latest period that has finished, the one you lodge. Once your books are closed through the end of it, it opens on the period now running instead of the one you have already lodged.
  • No due date that is not yours. A monthly reporter looking at a quarter was shown the quarter's due date. A period outside your cycle now shows none, and says why; the basis you do not report on says to lodge the other figures.

Fixed

  • Recent changes in Settings → Data & security read "Someone changed" on every row until the names arrived. The list now appears with the names.

13 October 2026, Document numbers

New

  • Choose how your documents are numbered. Settings → Invoicing & tax → Document numbers sets the prefix and the next number for invoices, quotes, purchase orders, adjustment notes and receipts. A business that also invoices from Xero gives its invoices a prefix of its own, so an invoice pushed from here never meets one Xero already holds; one moving across from Xero carries on from its last number.

Improved

  • Check my Xero setup looks up your next invoice number in Xero (and your next quote and purchase order number when those are sent) and says when Xero already has it.
  • A booking's later receipt is linked to the booking's invoice when that invoice is already approved in Xero for the same amount, instead of being refused on every sync. A different amount is said plainly.

Fixed

  • Numbers past 9999 no longer come out cut short (10000 printed as 1000).

Action needed

  • If you also invoice from Xero: set an invoice prefix of your own in Document numbers.

13 October 2026, Documents sent to Xero

Fixed

  • A document Xero refused once can be pushed again. Every later Push, Retry and automatic sync of it was refused too, with an error about an idempotency key, even after the cause was put right. Each push now goes through on its own.
  • Re-sync updates the draft every time. A document already in Xero could be updated once; the next Re-sync after another edit was refused.
  • An invoice never writes over one of your own in Xero. Xero files invoices by number and HappierBiz numbers them the way Xero does, so pushing INV-0007 could rewrite a draft INV-0007 made in Xero. The number is now checked first, as it already was for quotes and purchase orders, and the row says when Xero holds a different document with it.
  • After a reconnect to another Xero organisation, or Xero's demo company resetting, Re-sync sends the document afresh instead of failing every time.
  • Reimbursement bills refused once go on the next push, and pushing the same claims again still never makes a second bill.
  • Pay prep said every reimbursement was already in Xero when every bill had been refused. It now says no bills reached Xero, and why.

Improved

  • Why a document did not reach Xero is written under its row in Sync to Xero, including refusals met by the automatic sync, instead of in a hover note a phone cannot show. The rows wrap on a phone instead of hiding their buttons.
  • A draft Xero kept without an account is flagged on its row.
  • An invoice approved in Xero is left alone on Re-sync, and says so, like quotes and purchase orders.

13 October 2026, Leave sent to Xero payroll

New

  • Leave reaches Xero with the hours approved here. Xero books leave it is sent as the person's ordinary day; the send now sets the hours approved here, so a 7.5 hour day is 7.5 hours in Xero, and leave for part of a day goes across too instead of being typed in by hand. Leave sent earlier whose hours have changed here is brought into line on the next send.

Fixed

  • Leave changed after it was sent to Xero is never booked twice. Leave given another type was booked again beside the first, and leave extended by a day was called "already in Xero" while Xero held the shorter run. Anything that differs from what Xero holds is now listed under Leave to check in Xero instead.
  • Leave cancelled after it was sent to Xero is flagged, because Xero would still pay it.
  • Matches saved for another Xero organisation, including Xero's demo company after a reset, were counted as done, so Send was offered and every timesheet failed. They now show as not matched, with how many, until matched again.
  • A week whose total was adjusted reached Xero with hours from the other week. The days were fitted to the whole fortnight at once, so a week adjusted down took hours from the next, and Saturday hours moved onto weekdays. Each week now reaches Xero with the total finalised for it, and the timesheet adds up to the pay run exactly.
  • Sending a timesheet to Xero again was refused, with an error about an idempotency key, when nothing had changed or after fixing something in Xero. Every send now goes through and updates the draft.
  • Leave still to enter in Xero listed leave Xero already had, typed in by hand or sent earlier, inviting it to be booked twice. It now lists only what Xero does not have.
  • A send to Xero that sent nothing left no trace. Every send is now in the Activity log, with who was held back and why, or why Xero refused it.
  • Approve all in Xero named people by their Xero name; it now uses the name here, like the rest of the send.

Improved

  • Leave still to enter in Xero names the type of leave and the days, not only the hours.
  • A Xero connection removed in Xero is said as that, instead of asking for a payroll role.

13 October 2026, Work emails to a second address

New

  • A team member's work emails can go to their personal email as well. On their card in Team → Staff list, type the address in Personal email, tick Also send their work emails to their personal email and save. Staff can do it themselves at My work → My details. Every work email then goes to both: the roster, shift requests, leave, timesheets, expenses, jobs, and for the people who run the business their alerts and the daily email. The invitation and password reset still go only to the address they sign in with.

Improved

  • Each card says where that person's emails go, naming the address, where it used to say only "their login address". Send a test email goes to every one of them.

12 October 2026, Import your customers

New

  • Import on Customers brings your customer list across from a spreadsheet or the system you used before, with the equipment you look after for them on the same rows: a workshop's cars with their rego, make, model and last service. You see what will happen before anything is saved, a customer already on your list only has their empty details filled in, and importing the same file again never adds anyone twice.

12 October 2026, Who changed a setting

Improved

  • Recent changes and the Activity log name each setting in words, such as late clock-in email, instead of the code it is stored under. Support signed in to help is named HappierBiz support.

Fixed

  • Recent changes (Settings, Data & security) and the Activity log showed most changes to settings and team roles as made by System. Each change now names the person who made it. Earlier changes still show System in Recent changes.
  • A team role changed on the Team page was listed twice in the Activity log, once under the person's name and once as System. It is now listed once, and so is a settings change whose own entry names the fields that changed.

12 October 2026, Hours sent to Xero payroll

Improved

  • After hours are sent to Xero payroll, the result names any Saturday, Sunday or public holiday hours that went under Ordinary because no Xero earnings rate is matched for that day, so they are not paid at the ordinary rate unnoticed.
  • For a business whose hours go straight into Xero, the earnings rates box in Roster's Finalise & export now points to the Xero payroll card, where the rates Xero uses are matched. Its rows no longer disappear on a week with no weekend hours, and Penalty rates says they price the wage estimate only.

Fixed

  • A week entered only as a total, with no days, was held back from Xero as "changed since the weeks were locked", and finalising again never cleared it. It now says what it is: a Xero timesheet needs a day.
  • Finalising no longer counts a public holiday for somebody marked as not paid through HappierBiz.
  • An Address question on a form lost every space typed into it: "11 Jim St" could only be entered as "11JimSt", and a two-word suburb as one word. Fixed. An address already sent that way keeps its missing spaces, and so does a staff record made from it; correct those by hand.
  • Signing up, typing your own workspace web address could not take a hyphen: "my cafe" came out as "mycafe". It now becomes "my-cafe" as you type.
  • A service's Pass name lost its spaces as you typed, and clearing it put the old name straight back. Fixed.
  • A form's Dropdown, Choice or Checkboxes question can no longer be saved with the example choices Option 1 and Option 2, or with none: the builder names the question and opens it. New ones start empty, and the AI form helper and the assistant always give real choices, or make the question a text answer.
  • Penalty rates typed into Saturday and Sunday could come back as the defaults. Each box now saves what was typed, says Saving… and then confirms or says why not, and the next box's save no longer waits behind a reload of the page.
  • HappierBiz support signed in to your business now sees your real payroll settings on Roster and Pay prep & export, not the starting defaults.
  • Payroll setup at a glance flags Weekend rates in Xero when you pay Saturday or Sunday at a penalty rate but that day has no Xero earnings rate matched, so those hours would reach Xero as Ordinary.

12 October 2026, When the card for your plan is declined

New

  • Pay now on Plan & billing after a declined payment: update your card, then take the overdue amount straight away. A card added on Stripe's page on its own waits for the next automatic retry.

  • A red line at the top of every page tells whoever manages billing that the last payment didn't go through, until it does. The rest of the team never sees it.

  • A warning before your card expires: a week before your plan renews, if the card on file runs out before then, the owner is emailed and Plan & billing shows Update card. A card still valid on the day gets nothing.

  • Plan & billing shows the card your plan is charged to, and when it expires.

Improved

  • Update card opens Stripe's card form directly, and comes back when it is saved.
  • When a plan ends because its payment failed, nothing is owed for that payment: its invoice shows as Void.
  • The "payment didn't go through" email says the amount, the plan and when the card is tried again.
  • If every retry fails, the email says the plan ended because the payment didn't go through, rather than simply that it ended.

11 October 2026, Notices and chat channels for chosen people

New

  • Who sees it on an announcement: everyone, or chosen people, roles or a department. Only they see it, count in "N of M read" and are told about it.
  • Who's in it for a chat channel, in Comms settings: a channel for front of house, another for the kitchen. Nobody else sees the channel or its messages. A removed channel's messages stay with the same people, and come back to them if it is added again.
  • Owners, managers and supervisors (anyone who can post announcements) see every notice and channel. The tablet shows only what is for everyone, and the assistant never quotes a notice to somebody it is not for.

11 October 2026, Team chat fits the screen, handover newest first

Improved

  • Team chat fits the screen on a computer and a phone, so the box you type in is always visible with the newest message just above it. It used to sit below the edge of a laptop screen. A photo in the newest message no longer pushes it out of view, and someone scrolled up to read is left where they are.
  • Handover lists the day's notes newest first, under the box you write in, the same as the tablet. A note you have just added is at the top.

11 October 2026, Raise a concern privately

New

  • Raise a concern on My work, for something like bullying or workload. It names who will read it, and the person chooses whether their name is shown. It stays linked to them so they can follow it up, add a message or withdraw it. It reaches only people with the new Handle private concerns permission: the owner, unless you tick it for someone else.
  • Team → Private concerns for whoever handles them: read, reply, mark as being looked at, close or reopen. Notices never say what a concern is about or who raised it.

Fixed

  • Download everything no longer includes who answered the weekly check-in, which the team is told nobody can see.
  • An idea longer than 600 characters, or kudos longer than 400, lost the rest without a word. The boxes now stop at the limit, and an idea that could not be posted from My work says so instead of clearing.

Action needed

  • Owners: if a manager, HR or someone else should handle concerns, tick Handle private concerns for them in Roles & permissions.

11 October 2026, Onboarding a new starter

New

  • A new starter's checklist opens what each step needs. On the Staff list, Edit checklist lets a step open a form or a document. The new person sees it on My work under Your first week: Fill in the form, or the document and I've read it. Sending the form or marking the document read ticks the step for you; the card shows Form sent or Read.
  • Customers can book them, as you add them. Where people are booked for something, Add member offers Customers can book [name] and what they are booked for, so a new person is bookable without a second trip to Staff, spaces & equipment.

Fixed

  • Someone given a login after being added without one stayed linked to their old record in Staff, spaces & equipment, so their roster and leave stopped deciding when customers could book them. The link now moves with them, as does any equipment checked out to them.

11 October 2026, A document on a safety check

New

  • A document on a safety check. Link a procedure or safety data sheet from Documents to a check, in the check's settings. Whoever does the check taps its name to open it, on a phone or the tablet, whatever their access to Documents. You can only link a document you can open yourself, and a new version uploaded in Documents is the one the check opens.

11 October 2026, Shift types, the Staff list, and handing over safely

Improved

  • Shift roles are now Shift types: in Settings → the "Team" tab, on each shift, in Regular hours and in Qualifications. They say what a shift is for and give nobody any access, which "role" made easy to confuse.
  • The Staff list page is titled Staff list, as in the menu.
  • One staff list. Settings → the "Team" tab no longer has its own list of people with a role picker and an Add button; it links to the Staff list, and keeps It's just me, shift types and the time clock.
  • Make your own add-on role with New add-on role on Roles & permissions. It appears with the built-in ones on each person's card.
  • Pronouns are an optional field on each person's card, shown beside their name on the list. Staff photos, which nothing could set, are no longer drawn.
  • The WHS Officer add-on is no longer called "WHS Officer / H&S Rep". An elected Health and Safety Representative is chosen by your workers under the WHS Act, so the app does not make anyone one.

Fixed

  • Somebody who can edit team members could change the pay of, offboard, archive or delete somebody with more access than they have. Those now need somebody whose access covers the person's, the same as giving them a login.
  • On a person's card, a click on the Add-on roles caption or its note ticked Payroll Officer and asked to add it. It now ticks nothing; only a box does.
  • Handing over the business needs the owner to have signed in within the last 15 minutes, with two-step when their account has it, so a phone left signed in cannot give the business away.

11 October 2026, Automatic invoice reminders are yours to turn on

Fixed

  • Chase overdue invoices for me showed as ticked for every business, but no automatic reminder had ever been sent. It is now off until you turn it on, and when on it does send: at 1, 7 and 14 days past due, for invoices due from the day you turned it on. See Invoicing §7e-i.

Action needed (if any)

  • To have overdue invoices chased for you, tick Chase overdue invoices for me under the invoices list.

11 October 2026, The clock asks before two kinds of press

Improved

  • Still working? Somebody the app clocked out at their rostered finish while they were still working is asked, the next time they tap their name that day, "You were clocked out automatically at 3:30 pm. Still working?". Clock out now records when they really finished, for a manager to approve; the timesheet shows both times. Start a new shift clocks them in again. On the tablet and on a phone.
  • A second tap asks first. Clocking out within two minutes of clocking in asks "Clock out already?", so a name tapped twice no longer leaves an empty entry beside the shift.
  • The automatic clock-out email tells somebody still at work to clock out as usual when they finish.

11 October 2026, My day shows today

Improved

  • My day on My work lists today's work only. The rest of the week waits under Coming up this week, by day, closed until you open it, along with any job still open from an earlier day and any job with no day set. The button says in orange when something from earlier is not done, so nothing goes missing. A business that never puts a day on its jobs keeps the My jobs list. See Jobs §3.

Fixed

  • My day listed every open job and every visit still to come, under "My day", so a visit on Friday showed on Sunday as if it were that day's work.
  • With more than 20 open jobs, the newest could drop off My day, leaving a job booked for today without its address.

11 October 2026, Timesheets round a shift once, and can pay from the rostered start

New

  • Pay from the rostered start, in Roster → Timesheets → Settings: a clock-in before the rostered start is paid from the start, however early, and the day is not flagged for it. Late arrivals and late finishes are paid as before. Off until you turn it on. See Roster §7c-ii.

Fixed

  • With Round to roster on, a shift somebody clocked out of and back into (a break, or tapping twice) could pay more than both the roster and the clock: each clock-in counted as the rostered start, so the minutes between were paid twice. A shift is now rounded once: only its first clock-in and its last clock-out move to the roster. Weeks not yet finalised show the corrected hours; a finalised week keeps the hours it was locked with.
  • Approve these automatically now leaves a shift punched in two goes for you to approve. Its switch also showed as off when it was on, if the settings were opened before the week had loaded; it now shows what is saved.
  • The auto clock-out closes a punch at the rostered finish once somebody is still clocked in the grace past it. The settings card and the manual said "the rostered finish plus the grace"; they now say what happens.

11 October 2026, A removed shift leaves every open roster

Fixed

  • A shift removed on one screen stayed on everybody else's roster until they reloaded, the person rostered on it included. Removing a shift, marking somebody off a day, releasing shifts for leave and offboarding somebody now show on every open roster within a second or two. A roster left in the background catches up when it is brought back to the front. See Roster §7a-vi.
  • The red Needs cover mark went from the grid whenever a shift on the week was added, changed or removed, until the page was reloaded. It now stays.

11 October 2026, Your address on invoices, quotes and receipts

New

  • Choose how much of your address your paperwork shows: the full address, the suburb only, or none, in Settings → Invoicing & tax → Invoice & tax details. Invoices, quotes, receipts, credit notes and the foot of marketing emails follow it. For a business run from home, the street stays private. Your full address stays on file for trip distances, and purchase orders keep it for deliveries.

Fixed

  • The Edit business details links on the Marketing page opened the General tab of Settings; your address and contact details are on Invoicing & tax.
  • A credit or refund note printed your phone number unformatted; it now reads the same as on the invoice.

11 October 2026, Reactions in team comms

New

  • React to a notice, message or handover note with 👍 ❤️ ✅ 🙏 🎉 😂. On a computer hover over a message and press the face (or React under a notice); on a phone, tap the message. Reactions show for everyone as they are made, and nobody is notified about one. A reaction is not an acknowledgement.
  • Choose your team's reactions in Comms settings: up to 8, from the suggestions or any emoji you type. Reactions are on to start with, and the same settings switch them off.

Fixed

  • A deleted chat message, handover note or notice stayed on everybody else's screen until they reloaded the page. It now goes from every screen at once.

11 October 2026, Booking pages and forms fit their box on your website

Improved

  • The embed grows and shrinks to fit. The code from Settings → Website & embed, a service's or booking page's Embed on your website, the memberships page and a form's Share & QR now sizes its box to the page: taller when the calendar opens, shorter for a shorter step, with no empty space under it and no scroll bar inside it. Moving to the next step scrolls your website back up to the top of it.
  • Copy the code again if you embedded a page before today: the older code is a box of fixed height. A website that removes scripts keeps a box 760 pixels tall that scrolls inside, as before.
  • Inside your website the booking terms open in place under the agree box, joining a membership opens in the page rather than over it, and View your ticket and Manage your booking open in a new tab.
  • On the booking page itself, Continue at the bottom of a step starts the next one at its top.

Fixed

  • Team chat, handover and notice times are said on the business's own clock. The page is drawn on our server first, and Team chat briefly showed times eight hours out before correcting itself.
  • A form's embed code said it resized to fit; it was a box 900 pixels tall.
  • From a form on your website, Leave a Google review opened inside the box, where Google refuses to show; it opens in a new tab.

11 October 2026, Photos in team chat, handover and notices

New

  • Photos. Press the photo button beside the message box in Team chat, a handover note or a new announcement. On a phone, take one or choose from your library; on a computer, paste or drag one in. Up to 10 a message, shown as a grid in the conversation, full screen with a tap. They are shrunk on the phone before they leave, kept in the business's private storage, and shown only to people signed in to the business. The kiosk shows them too.
  • Comms settings → Photos in chat and handover, on to start with, switches them off for everyone. Announcements can always have photos.
  • A new notice reaches phones. Everyone who has switched their phone on gets a notification when a notice is posted. Team chat messages can reach phones too, for anyone who switches them on at My work → What you get told about; each channel is one notification that keeps itself up to date.

Improved

  • Rewording a notice, or changing its photos, asks anyone who acknowledged it to look again.
  • A photo picked and never sent is removed after a day, so it does not use the business's storage.

Fixed

  • Files kept for jobs, expenses, safety, equipment, recipes and purchase orders could be opened, replaced or deleted by any signed-in team member outside the app's own rules. They now go in and out only through the app, which checks who is asking every time.

11 October 2026, Team chat that updates as people write, and a quicker noticeboard

New

  • Team chat is live. A message appears for everybody with the chat open as it is sent, and the other channels' tabs count new messages as they arrive. Each day has a heading (Today, Yesterday), and a run of messages from one person shares one name.
  • Rename a chat channel. Comms settings → Chat channels → Rename. The conversation moves with it. Removing a channel says how many messages it hides, and adding a channel with the same name brings them back.
  • Web addresses in notices, chat and handover notes can be tapped.
  • Activity log. A reworded or deleted notice, a chat message or handover note deleted by somebody other than its author, channel changes and switching Team chat or Handover on or off are recorded in Settings → Activity.

Improved

  • Seeing a notice records your read. A notice on your screen is marked read for you, so there is no Mark as read to press. A notice that asks for an acknowledgement still waits for Acknowledge.
  • Acknowledge again. When a notice you acknowledged is reworded, you can acknowledge the new wording, and managers see who acknowledged the older one.
  • Announcements, Team chat and Handover open with their content already there, three to five times sooner than before.
  • On a phone, tap a chat message or handover note to delete it, and Enter makes a new line (Send sends).
  • The person who posted a notice is no longer counted as waiting on it.
  • Kiosk: notices and messages keep their line breaks, the chat shows each message's channel, a switched off Team chat or Handover is off on the tablet too, and notices hidden by Hide notices older than are hidden there too.

Fixed

  • New chat messages could vanish. A channel with more than 200 messages opened on its oldest 200, so a new message did not appear. It now opens on the newest, with Load earlier messages above them.
  • The bell could stop counting chat messages once a business had sent 500 since a person's first visit.
  • A handover note left at the kiosk never lit the bell.
  • Only the person who posted a notice can change its wording. Anyone who could post could edit anyone's notice, and it still showed the original author's name. Managers can still pin and delete any notice.
  • Changing only a notice's category or priority no longer marks it as reworded.
  • A chat message over 4,000 characters or a handover note over 2,000 was cut short without a word. It is now refused, saying by how much.
  • Comms settings said "saved" when a change had been refused.
  • Deleting a chat message or handover note now asks first.

10 October 2026, Any leave for part of a day, and leaving early from My work

New

  • Record leave, any type. The roster's Record personal leave is now Record leave, with the leave type to pick: personal / carer's leave first, then every type that person can take, marked Paid or Unpaid for them. Time in lieu shows what is in their bank and refuses more than that.
  • Leaving early from My work. Clock out before the shift ends asks whether the rest of it is leave, and one press clocks out and asks for it. Clocked out at the kiosk? The My work card offers the same ask afterwards.
  • The owner books their own leave. It is approved as they book it, from the Leave page, their own shift or My work, so a sole trader's holiday blocks bookings straight away.

Improved

  • Personal / carer's, compassionate, family and domestic violence and community service leave never need the business's notice. Each leave type says whether it does, and you can change it.
  • Two kinds of leave on one day are paid and filed under their own types, and an unpaid hour beside a paid afternoon pays only the afternoon.
  • Time in lieu taken for part of a day spends what the day's pay counts as leave, net of a lunch never taken.
  • Finalise names paid leave still waiting for a decision and holds the period, and approving leave into a finalised week says so.

Fixed

  • Approving leave for part of a shift offered to release the shift, which deleted the hours worked that morning from pay.
  • The Xero send refused the timesheet of anybody with leave for part of a day as "changed since the weeks were locked", and never filed that leave. It is now listed to add in Xero by hand, with its date and hours.
  • The roster's own fills skipped a shift altogether when approved leave took only part of it.
  • A manager could record approved leave for themselves from the roster.

10 October 2026, Personal leave for part of a day

New

  • Going home unwell. Record personal leave on a roster shift now asks Whole day or Part of the day. Part of the day records the leave for the hours given and keeps the shift for the hours they worked. While the shift is under way it is already set from now to the end of the shift.
  • Clock off at the time they left. If they are still clocked on, the panel says so and closes the punch at the time they went home in one press.

Improved

  • Only the bookings inside the leave's hours are listed to reassign, and only those hours close on the booking page.
  • The Activity log line for recorded personal leave gives the day, and the hours when it was part of one.
  • Leave times in emails read 12:30pm to 5:00pm rather than 12:30 to 17:00.

Fixed

  • Leave for part of a day hid that whole day's shift on the roster and on the person's My work, and took its hours out of the roster totals. The shift now shows with the leave's hours beside it.
  • Paid leave for part of a day was not paid on a day the person had clocked on, or whose hours had been settled on the timesheet. It is now paid beside the hours worked, less any time clocked inside it.
  • On a day with leave for part of it, the unpaid break always came off the hours worked, so somebody who went home before lunch read half an hour short against their clock and was paid the lunch as leave. The break now counts as falling in the middle of the shift.
  • Recording a whole sick day for somebody with approved leave for part of that day (an appointment) recorded nothing and cleared the shift, so the day paid nothing. It now records the day and lists the appointment's leave to change.

10 October 2026, Schedule a crew, or pencil a visit in for nobody yet

New

  • Schedule to. Every way of booking a visit (New job, Add a visit, Book several days) now asks Schedule to and lists your team to tap: pick several people for a crew, such as a tradesperson and an apprentice. Each gets their own visit at the same time, sees it on My Work, and is told who they are going with. The customer still gets one email.
  • Pencil it in. Pick nobody and the day and time are held with nobody on them yet. The Schedule shows them in a Nobody yet column on their day, and lists every one under Needs someone at the top of the tray, with Pick someone beside each.
  • On New job, the button to add the first visit is now just Schedule.

Improved

  • The Jobs board names the whole crew on a job's next visit day.
  • Book several days for a crew skips any day one of them does not work, and says who.

Fixed

  • A crew on one day read as two days (Day 1 of 2, Day 2 of 2). Days are counted, not visits.
  • Schedule… in the tray no longer picks whoever sorts first in your team.

9 October 2026, Book the first visit as you open a job

New

  • First visit on New job. Choose who is going, the day, the start time and how long as you open the job, from the Jobs tab, the Schedule board or the Calendar's Staff day. It is checked like any visit (closed days, leave, the roster, clashes), the person going is told, and Email the customer this booked time tells the customer. On the board it starts open, on the day you were looking at, and the board moves to the visit's day afterwards.
  • Due by on a job: the day the work has to be done by. The Jobs board and To schedule show Due tomorrow, then in amber Due today or Overdue by 2 days, and a visit booked after it says so.

Improved

  • One way to put a job on a day. The job's own Scheduled day and Time boxes are gone, because a day typed there reached neither the Schedule board nor the Calendar. A job that has a day but no visit says Planned for Thu 12 Nov, 2pm, but not on anyone's schedule yet, and Add a visit starts on that day and time.

  • Add a visit on a job no longer opens on a day that has already gone.

  • Jobs settings, tidied. Every box is the same height and as wide as what goes in it, so an hourly rate or a number of hours no longer stretches across the panel. Rounding is one menu (To the nearest 15 minutes, Up to the next 15 minutes) instead of two boxes that crowded each other, and Save settings stays at the bottom however far you scroll. The job forms use the same sizes.

Fixed

  • Boxes drawn the wrong width. A small box meant for a number was drawn the whole width of the form in Jobs settings, a recurring schedule's Open the job early, a membership's yearly price and intro offer, and an asset's Service every, where it squeezed the unit beside it.
  • Add a visit from a job now says whether the customer was emailed, or that they have no email address on file. It said nothing.
  • A finished job past its due date no longer shows in amber.
  • When a day can't be checked for leave, closures and clashes, the visit forms say so instead of showing Checking that day for good.

9 October 2026, Job forms say only what is needed

Improved

  • New job and Add a schedule no longer show filler text in the job name box, and Notes says (optional) in its label.

Fixed

  • The Sites form on a job (Manage this customer's sites) showed its field names unstyled. They read like every other form again.

9 October 2026, Invoices name who they are for, and the drawer says where the money stands

Improved

  • The invoice drawer, redesigned. The top says who the invoice is for (the business, with the person to open it beneath), their phone for those who can see customers' details, a status in words (Awaiting payment, Part paid, Overdue, Paid), what is still owed, both dates in full with how many days overdue, and links to the booking, the jobs, the quote it came from and the customer record. The items end in the same totals block the printed copy prints, GST included. A History list says what happened to it and who did it. The buttons fit where it is: a draft leads with Email invoice, an overdue one with Send reminder, a paid one with its Receipt, and a voided one can only be viewed. It opens in one request instead of five in a row.
  • Part paid shows on the list, counting a deposit paid on the booking or the quote, and the booking's own Invoices & quotes card says how much is owing.
  • Emailing an invoice, sending a reminder and Mark as sent each ask first, naming where it goes or saying that nothing is emailed.
  • The ABN warning links to the fix (Fix the ABN) and names the real place, Settings → Invoicing & tax.

Fixed

  • Invoices made out to "Customer". When a customer record had no name, Ready to bill, the scheduled billing run and the receipt book wrote the word "Customer" on the invoice, and the customer's record then took it back as their name. Ready to bill now asks Who is this invoice for?, the run leaves them for you, and every screen and copy names an invoice that names nobody by its email with No name on file. Xero and the CSV exports no longer file every nameless customer under one contact called "Customer".
  • A payment, credit note or refund can't exceed the money. A $1,550 typo against a $155 invoice used to be accepted and vanish from the figures. It is refused, with the amount owing.
  • Mark paid on an invoice in Money owed now records the payment (it used to refuse every time), and counts a deposit already paid on the booking.
  • An invoice awaiting a second manager's approval can no longer be moved to draft or sent around that approval.
  • A voided invoice can't be emailed, and Copy pay link no longer shows on a draft, whose pay page refuses it.
  • Editing an invoice can no longer leave it with no lines if the save fails part way, and converting a quote can no longer make an empty invoice.
  • Totals round line by line everywhere, so the list, the drawer, the printed copy and the card payment always agree to the cent.
  • A receipt for a customer with no name read "Bill to: there". It shows their email.

9 October 2026, Billing part of a job keeps it open

Fixed

  • Billing part of an open or on hold job no longer marks it Billed. Raising an invoice for the work so far, from Ready to bill, a weekly or monthly run or anywhere else, used to close a job the team was still on: it left the job picker, refused new visits, dropped its visits from calendar feeds and the customer's reminders, and anything logged on it afterwards was never billed. It now keeps its status, and later work waits in Ready to bill as normal.
  • A voided invoice always puts its work back in Ready to bill. A job billed across two invoices stayed Billed when one of them was voided, so that invoice's work was never billed again.
  • Removing a one-off part from a job no longer says it goes back into stock.

Improved

  • Billed now means done with nothing left to bill. A done job becomes Billed once its last work is billed. Marking a job done when everything on it is already on an invoice puts it straight into Billed, and says so. Anything still waiting, such as an entry with no rate or a part with no price, keeps it at Done. Work or a part added to a Billed job later, or a voided invoice, puts it back to Done, ready to bill.
  • Bill this job and the assistant follow the same rule. A done job billed through the invoice editor now shows Billed too, as one billed from Ready to bill always did.

Action needed (if any)

  • A job billed while it was still being worked, before this change, still shows Billed. Press Open at the top of it to carry on. What is billed stays billed.

9 October 2026, Cancelling a job takes its visits off the schedule

Improved

  • Cancelling a job takes its visits still to come off the schedule. Before you confirm, it lists them. They leave the team's run sheets, the Schedule board and the Calendar, and stop holding their online booking times. Each person is told once, with all their days. Visits done, under way or already past stay as the record, and somebody already on site is told the job is off.
  • Tell the customer in the same step. A tick on the same question emails the customer once, listing every day that was booked. It is off unless you tick it.
  • A job from a booking says the booking is not cancelled, so nobody takes one for the other. Cancel the booking itself to tell the customer.

Fixed

  • An email to the customer about a visit that could not be sent was reported as sent. It now says it could not be sent.
  • My Work showed a job that is not open, such as a cancelled one, with a Mark done button that could only be refused. It now shows the job's status.

9 October 2026, The Messages badge clears when you read it

Fixed

  • Reading and replying to the conversation Messages opens by itself now clears the Messages badge and the bell. Only a conversation picked from the list used to, so both stayed lit after you had answered.
  • The bell and the badge now clear the moment a conversation is read, rather than up to 45 seconds later.

9 October 2026, Booked before? Their saved details

New

  • Booked before? is the first thing on every booking page's details. A returning customer types their mobile number or email, gets a code by email, and it fills in their name, email, phone and, when you go to them, their address. The rest of the page waits, greyed out, until then. They can change anything before booking.
  • Save this as my address appears when they change a saved address, so someone who has moved updates their record. Unticked, it is for this booking only.
  • New booking fills in the address of the customer you pick, for anyone who can see your customers, and offers Save this as their address to anyone who can manage them.

Fixed

  • A customer's record now always shows the phone and email from their newest booking. It could show an older one.

9 October 2026, The customer's address, in its own boxes

Improved

  • Booking asks "Your address" in four boxes: street address, suburb, state and postcode, on a service set to We come to the customer. It used to be one line under Where should we come?. A phone can fill all four in one tap.
  • The address reaches the customer's record. When they book, the address fills in Address and billing on their record if it is empty. A booking never changes an address already saved.
  • Add a customer takes their address too, in the same four boxes.
  • The card on a customer that holds their address is now called Address and billing, and its street box Street address.

Fixed

  • A booking at the customer's place now shows the address they gave, with a tap for directions, and how to get in, in its details. It used to reach only the emails, the calendar and the job.
  • A service's own booking question that asks for an address is marked in the editor when the service comes to the customer, since customers were asked for their address twice. Remove it so they are asked once.
  • A customer whose saved address was only a street showed Not set on the closed card. It now shows the street.

9 October 2026, Choose whether to ask how to get in

New

  • A service set to We come to the customer has a switch under it, Ask "Anything we need to get in?". Switch it off and booking asks only for the address to come to. It is on for every service until you change it.

9 October 2026, Every day of a job in your calendar app

Improved

  • Your calendar app shows every visit to a job. A job over several days, or the days a customer chose after accepting a quote, now appears on each of those days at that visit's time in Outlook, Google Calendar or your phone. It used to appear on one day only. Owners and managers see who is going on each.
  • Add to calendar on a job in My work adds each of its days still to come.

Fixed

  • A booking that opens a job now appears in your calendar app once, as the booking, instead of twice.
  • A booking at the customer's place now sits at their address in your calendar app, and a video call at no address, instead of at your premises.

9 October 2026, Preview a form before you save it

New

  • Preview in the form builder shows the whole form as the person filling it in sees it, on their screen: your form's link, a customer's form for their booking, your booking page, a guest's invitation, the Forms drawer or a booking or job. Try it on a Phone or Computer width; questions show and hide as you answer, required ones are checked, and nothing is saved or sent.

Fixed

  • A date question set to Pre-fill with the day it's opened now does so on team forms on bookings and jobs, on staff notes, and on forms your customers answer while booking. On a form there that is not required, the date alone does not start it, so a customer who skips the form can still book.

9 October 2026, Job visits on every calendar view

Improved

  • Job visits show on the Calendar in every view, Day, Week, Month and on a phone, in time order beside your bookings, marked Job. The days a customer chooses after accepting a quote now appear where you look for the day. Select one to open its job.
  • An accepted quote shows where it went: its job and the days booked, or that the customer has not chosen them yet.

Fixed

  • Emailing a quote the customer had already accepted asked them to accept it again. It now goes as a copy that says when they accepted, with View your quote.
  • A booking that opens a job no longer shows twice, and the Week view no longer says Nothing booked on a day with only job visits.

9 October 2026, Your logo reads clearly at the top of your emails

Fixed

  • The logo in your emails now looks the way it does in the app. It used to sit straight on the coloured band at the top of every email, so a dark logo, or one on a see-through background, all but disappeared on receipts and confirmations. It now follows your Logo style, the same as the top bar: Tile and Blend show it on a white tile, and Plain shows it with no tile.

Action needed (if any)

  • Owners whose logo is set to Plain: if it is hard to see on the top bar, choose Tile in Settings → Appearance, then Save branding. Emails already sent keep their look.

9 October 2026, Purchase orders received into stock

New

  • Receiving a purchase order adds to stock. Each line for a stock item shows how much is going into stock, starting at what is still to come. Receive part of a delivery now and the rest later with Update receipt.
  • Purchase orders filled from the shopping list keep their list items. The list shows them as On PO-0012, a second order leaves them out, and receiving them on either screen counts once.
  • The purchase order shows each line's stock: For stock, 6 of 10 in stock or In stock.

Action needed

  • Owners: nothing to set up. Lines are for stock items when they come from the shopping list or are named exactly as the item. An order raised before today shows matching lines empty, so goods already received by hand are not added again.

9 October 2026, Stock: every change recorded and explained

New

  • Count stock on one sheet. Count stock on Stock lists every item to type the shelf count against, with search, barcode scanning, Enter to move on, a printable blank sheet, and the differences and their value at cost before it saves. Typed counts are kept in your browser until saved, and items you did not count stay as they are.
  • Receive to stock asks how many arrived, filled in from the list line, so a short delivery or a box of twelve goes in as what actually came.
  • Say what happened to stock: Lost or stolen, Damaged, Expired, Written off, Returned by a customer and Returned to supplier, alongside Received, Used, Sold and Wastage, each with an optional note.
  • Import shows what it will do first: how many items, which suppliers it adds, and every line it leaves out with its line number and why.
  • An item's whole history, not just its latest 20 lines, and a Download of it as a spreadsheet.
  • Cancelling a job with parts from stock asks whether to put them back.

Improved

  • Count while you trade. A count applies only the difference from what the screen showed, so sales made while you counted are kept.
  • When more is used than your stock showed, the history line says how many were taken off and how many were in stock.
  • Importing reads 1,500 and $1,200.50 as a spreadsheet writes them, and 500 lines now take seconds instead of minutes.
  • SKU or barcode: the search finds it, so a USB barcode scanner finds the item. Each code belongs to one item.
  • Prices say they include any GST, matching how invoices treat them.
  • Low stock joins the list straight away after a part on a job, a recipe recorded or a count, not only after a change on Stock.
  • A recipe that runs short says so: what was taken of what was needed, and the item's history line says what the recipe needed.
  • Archiving an item with stock, or changing its unit, says what that means for the stock before it happens.

Fixed

  • A business with more than 1,000 stock items saw only the first 1,000 on the Stock page, in its search and export, and in low stock counts.
  • Receiving a minus number added stock, a quantity of 0 was recorded as a change, and an import turned anything it couldn't read into 0 without a word.
  • A count taken during trading could undo the sales made while counting.
  • Removing the same part from a job on two screens at once could put it back into stock twice; the same part or change sent again after a slow connection could be recorded twice.
  • A name over 120 characters was cut short without a word, and a negative price was accepted.
  • A low item topped up to its reorder level went straight back on the shopping list with no quantity. With no reorder qty set, the list now suggests enough to reach twice the level.
  • Receiving from the shopping list read 1,500 as 1, and a line with no quantity as 1. Adding 500 to a list line of 1,500 made 501.5.
  • A count in an item's drawer was compared with the figure from when the page loaded, which could take sales made since off a second time.
  • When several changes hit one item at once, its history could list them out of order, so the running total did not follow line to line.
  • Recording a recipe twice after a slow connection took the stock twice.

Action needed

  • Owners: nothing to set up. Items whose stock was there before anything was recorded now show Already in stock when records began in their history.

9 October 2026, Every email read again

Improved

  • Every booking email greets the customer by first name, including the approval, the decline, a cancellation, a moved booking and a change of who it is with. A place opening on the waitlist now greets by first name too.
  • The small print says why, truthfully. A declined request, a cancellation, a waitlist place and a reply to a special request no longer say you have a booking. A balance reminder and a report sent after the visit say you booked with, which stays true after the day.
  • A booking taken by your team, and one you move, use your own wording from Settings, Email templates, as bookings made online always did. The booking taken by your team also states your cancellation terms now.
  • Job visit emails carry your phone number, since they say to give you a call, and give the day of the week with the date.
  • Your phone number is printed the same way everywhere, spaced the Australian way, on emailed invoices, quotes and receipts and on the printed and online copies, whichever way it was typed into Settings.
  • Receipts read cleanly: You've now paid $210.00 of $350.00, with $140.00 still to pay, and a deposit receipt says when the rest will be charged without a closing We'll see you soon!.
  • The overdue invoice reminder says it is overdue in its subject, and greets a business customer by its full name rather than its first word.
  • Form emails to your team are branded, say who the response is from, and have an Open in Forms button. The low rating email no longer advises you.
  • An answer to your reply on a form response comes to your business email, as it does for every other email, rather than to whoever sent the reply.
  • Write your own on a form response opens a blank reply without the AI, so you can still answer once the month's AI allowance is used.
  • Settings, Email templates lists every email, including the roster change email, purchase order and expense approvals, a form's "still open" link and its overdue escalation. The service due email is listed under your customers, where it goes, and our own plan emails under From HappierBiz.
  • Fewer words that only reassure: securely, secure link and for your security are gone from the balance reminder, the late cancellation fee and the membership emails.

Fixed

  • A second partial refund was emailed as the total refunded so far, as if it were all new money. It now says what that refund was, and the total when there has been more than one. A refund Stripe tells us about twice is emailed once, and one Stripe reports out of order can no longer lower the total refunded that Money shows.
  • A customer's name could become a link inside your team's emails, and inside a signed copy or an acknowledgement sent to an address somebody typed. Names are now plain text everywhere they appear in a sentence.
  • The late payment refund email said NOT in capitals and we'd love to get you in; the team's copy showed the booking's database id instead of its reference.
  • The dispute alert now says the date you must respond by.

9 October 2026, Emails that know where a booking happens

Improved

  • Customer emails now fit where the booking happens. On a service you travel to, the reminder asks whether the time still suits and its button reads Yes, that still suits. On an online service it asks whether they can still make it. Customers who come to you read exactly what they did before. The page the button opens and the booking page ask the same way. The table is in Bookings, A6b.
  • Forms are asked for before our visit on a service you travel to and before we meet online, in the emails, the screen after booking and the customer's booking page.
  • The feedback request thanks customers for booking with you rather than for visiting, when they never came to you.
  • Your team's New booking email says where to go: the customer's address with a link for directions and how to get in, or Online. It used to name the customer and leave the address out.
  • Job visit emails (booked, reminder and cancelled) name the site's address when the job is at one of the customer's sites.
  • Where ({place}) can now be used in the booking emails you re-word under Settings, Email templates, with the same meaning it has on reminders.
  • Cancellation and released booking emails read right wherever the booking was: you're welcome to book again any time, and if you'd still like to go ahead.

Fixed

  • Your address no longer appears in the small print of the paid confirmation, the forms email or the feedback request for a booking at the customer's place or online. The other booking emails already left it out.
  • Answers typed on the booking form are shown exactly as typed in your New booking email, so a link typed into an answer stays plain text.
  • Moving an online booking to another room no longer emails the customer a room name they never see. The screen says the customer was not emailed.
  • A service you travel to, with its address still to come, no longer shows your own address as where it happens.

8 October 2026, Safety & checklists: a record you can hand an inspector

Improved

  • A missed weekly or monthly check no longer disappears. It stays on the day's list under Still to do from earlier, saved against the day it was due and marked overdue, until it is done. One that falls on a day you are closed moves to the next day you open.
  • New schedules: every 3 months, every 6 months and yearly, from the date the first one is due. Fire equipment services, evacuation drills and inspections now fit.
  • "As needed" checks can be signed off. They were never on any list. Now they are always there, done as often as they come up, each time its own record.
  • A failed check says what is wrong, on every screen, and can record what was done straight away. That goes on the fault it raises and in the alarm email. A failed check can be checked again: the failure stays on the record and the re-check is added beside it and to the fault's notes.
  • The tablet can fail a pass/fail check, take a photo, and asks what is wrong. It used to have only a tick, which could only pass.
  • Instructions on a check, shown to whoever is doing it.
  • Emergency numbers on the Safety page, tap to call, set in Settings.
  • The common checks library has packs for trades, workshops, clinics, pet care and cleaning, and checks every workplace has: exits, fire equipment, first aid kits, electrical safety and the evacuation drill.
  • Who to contact tells whoever manages safety when nobody is named as First Aid Officer, or when a named person's first aid or warden certificate has run out.
  • Areas can be renamed, keeping their checks.
  • History is the full record: every sign-off in the range (no longer capped), with the reading, the safe range, notes, who and when, whether it was late, re-checks, the photo, and what became of each failure's fault. Every check that came and went without a sign-off is written down each night as Not done, and never rewritten. The audit export carries all of it.
  • The Overview reads the whole month and counts a check only from the day it was added, so adding a check no longer paints earlier days red.
  • Maintenance records who fixed it, notes every change of status, shows the re-check of a fault a failed check raised, and says when a fault's owner has left (archiving somebody hands their open faults back with a note).
  • New forms: a fuller Incident report (injury and treatment, witnesses, whether it may need reporting to the WHS regulator and who reported it) with managers emailed on each one, and a Hazard and risk assessment.
  • Quicker: the Safety page opens with one request instead of three, and no longer reads every fault and photo to show one link.

Fixed

  • Deleting a check deleted its whole history. A check with sign-offs can no longer be deleted; it is switched off instead, and the record stays.
  • A reading's pass or fail was decided by the screen. The server now works it out from the check's safe range, so a reading outside the range is always a failure.
  • A check could be signed off twice (a double tap, or two phones), or for a day it was not due. Neither is possible now.
  • A check could be set up with impossible settings: a minimum above its maximum, a word as a limit (saved as no limit), the same time twice. These are refused with what to change.
  • The Overview's calendar and export read only the newest 500 sign-offs, so a busy business saw earlier days of the month as missed, and an export of a quarter silently held about a week.
  • A failed check could not be saved in a business where anybody who manages safety has no login: it was refused with "Could not save" every time. It is always saved now, and the alarm goes to everyone who can sign in.
  • "Fixed by" was blank on every fault fixed since faults moved to the server.
  • Fault notes were stamped in the server's timezone, not the business's.
  • The demo's temperature checks could not take a reading (they were saved under a name the screens did not recognise).

8 October 2026, shift swaps: nobody can mistake a swap for done

Improved

  • Every screen says whether you're still on the shift. A swap shows Waiting for Jordan, then Needs a manager's approval with "You're still on this shift until a manager approves it", then Swapped once the roster has changed. The coworker who accepted now sees it too, on My work and Shift requests.
  • The roster shows a swap in progress. A shift being swapped carries Swap asked or Swap needs approval, and your own shift list says where it stands.
  • Told in the app, not just by email. The person who asked hears when the coworker accepts, and both hear when it is approved, declined, withdrawn or cancelled.
  • Second thoughts. A coworker who accepted can say Can't do it now before a manager decides, and a manager can decline a swap nobody answered.
  • The pay effect, before you approve. Each swap waiting for a manager shows every person's rostered hours that week before and after, as payroll counts them, with overtime, contracted hours and public holidays called out, and the wage change at base rates for people who can see pay. Approving one that creates overtime asks you to confirm. On Shift requests and in the Approvals inbox.
  • Quicker. Asking, accepting, approving and withdrawing no longer wait for the emails to go.

Fixed

  • A shift that had already started, or been worked, could be swapped.
  • A swap stayed open, and could be accepted at its old time, after the shift was changed or removed on the roster. It is now cancelled, and both people are told.
  • A shift could go to somebody already working at that time, on leave, or no longer on the team, and the qualification check on swaps never ran.
  • A manager could approve their own swap.
  • A withdraw at the same moment as an approval could leave the swap "cancelled" with the shift moved.
  • A regular shift swapped to a coworker came back on the original person's roster the next time the roster filled, so both were rostered and paid for it.
  • A swap could reach a week whose timesheet was already confirmed, or locked for payroll.

8 October 2026, Invoicing: one period for the whole page

Improved

  • Step through time. Arrows beside the period on Finance → Invoicing step back a month, a quarter or a financial year, and the label changes as soon as you press. This month (or quarter, or year) brings you back.
  • The list follows the period. The list, the tab counts and the filter counts now cover the same month, quarter or year as the figures above them. A search still covers every date.
  • Nothing owed is hidden. When unpaid invoices are dated outside the period, a line above the list says how many, with Show all dates. Outstanding is still all time.
  • Quicker. Changing the period no longer waits on several loads in a row.
  • Money reads $1,396.00, with the thousands separator, as on the printed invoice. Quarters are named by their months, such as Oct to Dec 2026.

Fixed

  • The Invoicing page scrolled sideways on a phone.

8 October 2026, the Team page: roles, invites and two-step

New

  • My details, for everyone. My work → My details is where staff keep their own phone, address, emergency contacts, date of birth, uniform size and medical notes current. It was only on the staff list, which most staff cannot open.
  • Roles & permissions lists add-on roles separately from roles, and shows how many people hold each one.
  • Every saved change to a team card is in the activity log, naming the fields that changed (pay rate, start date and the rest) without their values.

Improved

  • A role or add-on asks before it changes. Picking one applied it on the spot, and Cancel did not undo it. It now asks first and says it takes effect straight away.

  • Adding someone already on the team is refused and names who has the email; an archived person is rehired instead. Inviting needs an email address.

  • Invites go where you say. The invite box on a card sends to the address you type, saves it to their card, and says where it went; a pending invite shows its address.

  • Withdrawing an invite asks first, and keeps anyone with shifts worked, hours or leave on file on the team without a login.

  • The staff list loads faster: its fifteen reads now happen together.

  • Saving a card checks emails, dates, pay, hours a week, the postcode, and that Reports to is someone on the team.

  • Filter by role finds people wearing an add-on, and the search finds roles.

  • Staff can't retitle themselves. The job title is the employer's to set; on your own card it shows, read only.

  • The staff export marks archived people.

  • A page a role can't see in the menu stays closed when opened by its address too: Tasks, Forms, Recipes, Documents, Roster, Announcements, Safety, Maintenance and the shopping list now check the role themselves.

  • Business Health opens for anyone whose role can View Business Health, rather than for owners and managers by name.

  • Resetting someone's two-step is for people on your team who hold no more access than you. Someone who also belongs to another business here is reset by our support team, because their two-step protects that account too.

  • Giving a record a login, or sending its invite, needs the same cover as giving that person's role: you can't hand out more access than you hold.

  • Settings, Team changes roles with the same confirmation and rules as the Team page, and your own row is not a picker.

Fixed

  • Deleting an add-on role left it on the people wearing it, quietly giving them its default access back. It now comes off everyone.
  • Editing a card reset leave balances. Any save re-based every balance to that day, so sick leave dated earlier and approved later never came off. Only the balances you change are saved now, and only by people who can approve leave (the HR add-on was told "You don't have permission to set leave balances" on every save).
  • Staff saving their own card lost their contact email silently. That box is now a manager's, and gone from your own card.
  • Supervisors couldn't open purchase orders. Invoicing sent them back to the dashboard though the menu offered it.
  • Deleting an archived person with bookings would have wiped who those appointments were with. They now stay archived.
  • Unticking Active on your own card archived you on Save, without offboarding tidying anything. Leaving is now an offboarding by another manager or the owner.

8 October 2026, online appointments on your own meeting link

New

  • Any service can happen online. Save the link to your own Google Meet, Zoom, Teams or Zoho room under Settings → Connections → Video calls, then turn on This happens online on each service that runs by video (the switch appears once the link is saved). The booking page shows it as Online; the confirmation, the reminders, the customer's booking page and their calendar entry carry Join the call, naming your service. The call runs on your own account.
  • Join the call opens ten minutes before the start, closes two hours after, and stops working if the booking is cancelled. Your link is never shown on your booking page.
  • For your team: Join the call on the booking, on the Calendar and in My work, and Online on the day sheet.
  • Where to get your link. Pick your app (Google Meet, Zoom, Microsoft Teams, Zoho Meeting, Webex or Whereby) in Video calls for the steps to a link that keeps working, how customers wait until you let them in, and the app's free time limit. Once saved, your app's notes stay under the link, beside Open.
  • The link box checks what you paste. A home page, a calendar event, a Teams chat or a host's start link is refused, saying what to copy instead. A whole invitation pasted in keeps just its meeting link, and a link your email wrapped to scan it is unwrapped.

Improved

  • A customer's booking page says which service the call runs on, and that Zoom or Teams needs its app on a phone, so they are ready before it starts.
  • A video call booked with a team member now says who it is with.
  • Teams steps, clearer. Video calls now says to make the Teams meeting on any day and time with Teams meeting turned on, as a series that repeats every year with no end date, so it shows in your calendar once a year, and to set Who can bypass the lobby and Who can admit from the lobby so only you let customers in, never Everyone.

Fixed

  • An approved request now says who it is with. The "Request approved" email named nobody, and its "Who with" wording was always left blank, so a business that approves its bookings never told the customer which person they would see. It now shows a With line, as an instant booking's confirmation always has.
  • What's new keeps its paragraphs. A longer update showed as one block of text; each paragraph now shows on its own.
  • Join the call stays open for a long session. It closed two hours after the start whatever the booking's length, so somebody who dropped out of a three hour workshop could not get back in. It now stays open until an hour after the end of a longer booking. Running over never ends a call: only your meeting app's own plan can.
  • No reminder straight after a move. A moved booking's reminders restart for the new time, so a client moved at 7:45 into 8:00 was emailed that it had moved and then, minutes later, a reminder asking if they were still coming. The move email now stands in for any reminder due within the hour; one due later still goes. The same applies when a customer moves their own booking.
  • Zoom: end the meeting for all. The Zoom steps in Video calls now say so: if the host only leaves, Zoom hands the room to whoever is still in it, who could let the next customer in.
  • Reschedule offers today. Moving a booking from its drawer started at tomorrow, even on a service with no notice, so a booking could not be moved to later the same day. Today is now offered, from the time slot happening now.
  • Your team isn't held to the booking window. Min notice, Book up to and Bookings open on are for customers. New booking, Reschedule, Move day, Record personal leave's Reassign and booking a quote's time now offer every free time, including the slot happening now, so a cancellation at 8am can be filled at 8. Before, a service needing two hours' notice hid the whole morning from your team, and New booking refused a time inside it.

7 October 2026, public holidays and leave for casuals

Fixed

  • Permanent staff weren't paid for a public holiday they didn't work. The National Employment Standards require it. A full-time or part-time employee who would normally work that day is now paid their usual hours for it at the ordinary rate, automatically. If the app can't tell whether it was one of their days, it says so on the Timesheets tab instead of guessing.

  • A paid public holiday went to payroll at the penalty rate. Hours nobody worked were sent in the public holiday column. They are now ordinary hours, and go to Xero on the Ordinary rate. Hours actually worked on a public holiday are still public holiday hours.

  • Casuals were paid for public holidays when public holiday pay was switched on. The setting Pay public holidays is now Pay casuals for public holidays, and is off unless you switch it on.

  • A public holiday you trade on came back. Removing it from your closures was undone by the yearly top-up. Change on the holiday now lets you say you open on it (still a public holiday for pay) or that it isn't a public holiday where you are, and the choice stays.

  • Some states' public holidays were wrong. Western Australia and Tasmania were given Easter Saturday, which neither has; WA, South Australia and the Northern Territory were missing Easter Sunday; and the Monday after a weekend Anzac Day was missing in WA and the ACT (and in NSW for 2026 and 2027). The lists now follow each government's. A wrongly added Easter Saturday stays on your closures as an ordinary closure, so nothing about your opening days changes, and it is no longer paid as a public holiday.

  • Adding public holidays could switch you to another state. The state picker always opened on New South Wales. It now opens on yours.

  • Casuals couldn't request carer's, compassionate or family and domestic violence leave. Only unpaid types were offered, which on the starter list was "Unpaid leave" alone. Casuals now see the types the law gives them, and family and domestic violence leave is paid for the hours they were rostered.

  • Family and domestic violence leave was named in the payroll file, emails, the calendar and calendar feeds. It now shows as Leave to anybody who doesn't approve or pay it, reaches payroll as the hours of the day it replaced, and is never sent to Xero as a leave application.

  • A leaver's banked time in lieu could be left out of their final pay. It is kept only in HappierBiz, and the offboarding checklist pointed at Xero. The leaver's panel in Team now says how many hours are still banked.

New

  • Your own public holidays. Tick It's a public holiday here when adding a closure, for a regional one such as a show day, and it is paid like your state's.
  • Casuals and Private settings on each leave type, so you decide what casuals may take of each type and which types stay private.

7 October 2026, timesheet and payroll audit

Fixed

  • Approved leave dropped out of pay when a week was touched. Typing one day's hours, Rostered or Clocked on a row, Override hours, and approving a week somebody confirmed each took that week's approved leave out of the pay figure and the payroll file. Approved leave is now its own pay line, and nothing done to the worked hours removes it.
  • A week of leave with nothing rostered paid nothing. Leave booked before its week was rostered, for somebody with no regular hours, reached payroll as no line while the leave balance was charged. It now pays the business's hours per leave day, Monday to Friday, the same figure the balance is charged.
  • Somebody who had left kept being paid from their regular hours. Regular hours now stop at their last working day, and the roster stops filling shifts for anybody archived.
  • A forgotten clock-out could be paid as a 16 hour shift. With manager approval switched off (the default), a finish the app filled in was paid. It is now held until somebody approves it, and finalising waits for it.
  • Hours worked on a public holiday went to payroll as ordinary hours unless the person was rostered and Pay public holidays was on. They now go as public holiday hours whenever the day is on your list as a public holiday.
  • Two people with the same name could lose one person's clocked hours to the other. Each is now matched by their login.
  • Approve on the Timesheets grid ignored two-step approvals and released pay without the payroll sign-off. It is now the manager's check, as in Approvals.
  • A screen that was out of date could clock somebody the wrong way: Clock out on a stale phone started a new shift. The button now sends what it said.
  • Finalise & export could download a file missing a week that would not finalise. Now one week that will not finalise stops the file, and a finalised week is never frozen again by finalising its period.
  • The grid's day totals left out paid leave, so they added up to less than the week's total.
  • Two overlapping parts of one day, or a finish one minute before the start, on a staff member's own timesheet were paid in full. Both are refused now, and a day cannot add up to more than the longest shift.
  • A shift whose finish was its start counted as 24 hours, and a typed figure of 75 for 7.5 was paid. Both are refused with the reason.
  • Two quick presses of the week arrow on My timesheet moved one week, not two.

Improved

  • The tablet's break button reads Start unpaid break, because every punched break comes off pay and a paid rest break must not be punched.
  • My timesheet shows approved leave on its day as paid as leave, with the total reading plus N approved leave.
  • After a send to Xero, each person whose timesheet included overtime is named with the overtime hours, because a Xero timesheet from here files them under the ordinary rate.

7 October 2026, confirming your own week

Improved

  • My timesheet has one Submit week. Each day starts as rostered; change only the days that were different, then submit. A day still to come reads Rostered, not Worked.

Fixed

  • Accept on a day was not kept. It ticked the day on screen only, nothing was saved until the whole week was submitted, and the tick vanished when the page reloaded. There is no per-day accept now, and leaving with unsent changes asks first.
  • A submitted week opened showing the roster instead of the changes that were sent, until you paged away and back.

7 October 2026, one diary and one Ready to bill

Improved

  • One place to see who is where. With Jobs on, the Calendar's Staff day and Staff week are the Schedule board: everyone on the team with their job visits, shifts, leave and customer bookings, and the jobs still to schedule. Select a booking on it to open that booking. A person's column offers Hand day… for their visits and Move bookings… for their bookings. In Month and Week, a day's 2 on jobs opens the board on that day. Rooms and equipment keep their lanes.
  • One Ready to bill, under Finance → Invoicing. Jobs now opens on the jobs, with the total beside its tabs, such as $495.00 ready to bill · Review.
  • A job with finished work and no customer is named, such as JOB-0025 has $120.00 of finished work and no customer, on Jobs and on Ready to bill, so the missing customer can be set.
  • How work flows here, a dashboard card for a business using Jobs: your bookings, Jobs, Ready to bill, in order, each a link. The × hides it.
  • The invitations card only where it applies. A booking of a service that never sends invitations no longer carries an empty invitations card.

Fixed

  • Somebody who can view invoices but not every job (the Payroll officer, for one) was shown the Ready to bill tab and then refused by it. They can read it now; raising an invoice still needs invoicing rights.

7 October 2026, Jobs in its own place

Improved

  • Jobs has its own place on the top bar, beside your bookings menu. It was under Time & pay, which is for the pay cycle. Its switch is now under Settings → Modules → Bookings.
  • A booking shows its job at the top, such as Job JOB-0064, open, and a job shows the booking or quote it came from, such as From booking SOLO-2026-7PYZ-1NCN, Thu 8 Oct at 9:15am. Each opens the other.
  • A service that opens a job says so, with an Opens a job tag on its card, and its Work behind the booking switch now sits just under What it uses.
  • New workshops, tradies and cleaners start by calling a booking a booking, so the menu reads Bookings for the customer's visit and Jobs for the work. A business that already calls its bookings jobs keeps its word; while the Jobs tool is on, its bookings menu reads Bookings, so two menus are never both called Jobs.
  • Each Jobs tab says what it is for, in the line under the title: Jobs, every job with its visits, hours, parts and photos; Schedule, who is going where and when; Work log, the hours your team logged, chargeable or not.

7 October 2026, finding your way from a booking to a job

New

  • How bookings, jobs, quotes and invoices fit together, in one place in the manual (Jobs) and in Help: what each one is for, where each lives, where a job comes from and how each one is billed.

Improved

  • The job number on a booking opens that job. It used to open the list of every job.
  • The button beside the greeting on the dashboard, and the setup card's heading, use your own word for a booking, such as Jobs or Appointments.
  • A job whose work is already on an invoice shows how much was billed, such as "$120.00 billed", rather than a bare "billed" that read like its status.

Fixed

  • Hints that pointed to Work logs settings now point to Jobs settings, the name on the menu.
  • A job in your calendar feed opens that job, even when you last used the Schedule.

7 October 2026, forms on jobs and the vehicle inspection

New

  • Forms your team fills in can go on every job. A vehicle inspection, a site checklist, a log for each visit: set Where to On every job on a form your team fills in, and it is on every job, whether it came from a booking or a quote, or was opened on its own. Fill it in on the job or on My work, on a phone or tablet.
  • Send the customer their copy. On a form set to send, Send to the customer emails the answers and a private link to the full report with its photos, for 60 days. The entry shows when they opened it.
  • The Automotive set-up. Forms → New form → Set up for your kind of business → Automotive makes a multi-point Vehicle inspection (each check Good, Needs attention soon or Needs attention now, with notes and photos where something needs work) and a Quality check for the end of the job. A new Automotive business starts with both, switched off.
  • Colour the answers. A Dropdown or Choice question can colour each answer green, amber or red. Copies sent from a job lead with the red answers, then the amber ones.

Improved

  • A required form is named when a job is marked done, on My work and in the job, so it isn't forgotten. The job can still be marked done.
  • A customer's record marks the forms your team filled in about them as By your team, beside the ones they sent in.
  • A form's submissions name the job an entry was filled in on, and a question holding several files has a View / download file button for each.
  • Payment to book says what to do if you take payment your own way, such as your own card terminal, bank transfer or direct debit: choose Nothing, and record what they pay on the booking with Take a payment.
  • Clicking a setting's heading no longer changes the setting. On a service, a resource, a form and the accounting export, a click on the heading above a row of choices picked the first choice, and a click on Options on a question removed its first option. Check a choice question if one seems to be missing.

7 October 2026, the Automotive business type

Improved

  • "Auto / mechanic" is now "Automotive" when you sign up, for mechanics, panel beaters, auto electricians and tyre and battery shops. A business already set up this way is unchanged.

6 October 2026, clearer wording for anything booked by the hour

Improved

  • "Minimum 2 hours" now shows beside the price of anything with a minimum length. It said "From 2 hours".
  • "How many hours?" An offering priced by a unit of time with the Unit box left blank now uses the word that matches its length (hour, day or week) instead of "units", on the booking page, in the price and in emails.

6 October 2026, telling customers when a visit is off, and a reminder the day before

New

  • A reminder the day before a visit. Switch it on in Jobs settings, under Scheduling, and choose the time it goes. The customer on each job gets one email the day before, with the day and time. A run of days is reminded once, and a visit that came from a booking keeps the booking's own reminders.
  • Tell the customer a visit is cancelled. When a job has a customer, Unschedule now asks first, with a tick to email them that it's cancelled.

Fixed

  • Two visits for one person at the same time now sit side by side on the day board. One used to cover the other completely, so it could not be opened.

6 October 2026, the Olive colour theme and Montserrat with Lato

New

  • Olive colour theme: deep olive on a warm cream background, with a soft sage for highlights and a dark olive top bar. Settings → Appearance.
  • Calm geometric font pairing: Montserrat for headings and Lato for everything else.

6 October 2026, card payments through your own Stripe account

Improved

  • Setting up card payments always uses your own Stripe account. No Stripe account yet? The card on Money owed has two steps: create one free on Stripe's website, then Connect my Stripe. The step-by-step guide covers what Stripe asks for, including what to give as a website if you don't have one.

Changed

  • HappierBiz no longer creates Stripe accounts for you. Card payments that are already live are unchanged.

Fixed

  • A moment when Stripe couldn't be reached no longer marks your card payments as not set up. Only Stripe saying your account can't take payments does.

6 October 2026, the assistant remembers what it offered to do

Fixed

  • The assistant knows which changes are waiting for you. After it offered a change with a Confirm button, a later question could have it say nothing was waiting, with the button still on screen. It now knows what it offered and whether you confirmed, cancelled or undid it.

6 October 2026, a new booking page starts blank

Improved

  • New booking page opens with empty boxes instead of a made-up example. The address fills in from the name as you type, and you can still type your own. Accents and apostrophes no longer split the address: Café brunch is /book/cafe-brunch, not /book/caf-brunch.
  • Changing a shared page's address warns you first. The old address and any QR code made for it stop working when you save, and the drawer now says so under the address.
  • Made-up examples are gone from the boxes you fill in, across the app: names, street addresses, a sample roster note, recipe amounts and more. Each box now says what goes in it, or nothing where its label already does.

Fixed

  • Three panels now scroll: New booking page, Receipts by email, and Who's away on the roster. With a long list in them, the buttons at the bottom (Create page, Save changes, Delete) were cut off the screen and could not be reached.

6 October 2026, jobs over several days

New

  • Book several days, on a job and on a quoted job in the Schedule tray. Choose the person, the first day, the time and how many days; the days are laid out for you, skipping the days they do not work, with any clash said before you book. The person is told once, and the customer can be sent one email listing every day.
  • Days in a row, for a quote whose customer chooses their own days. They pick the first day and a time, and the rest follow on the days the person works.

Improved

  • The Schedule boxes say who, when and which day. The customer leads, then the time and Day 2 of 5 for a job over several days, the job, the address and any note, from the top of the box down.

6 October 2026, enquiry replies say how to reach you

Improved

  • Your phone and email go under a reply to an enquiry, as Call us and Email us, and under the automatic "thanks, we've got it". They used to carry only your street address, so somebody who would rather ring had no number. Both come from your business details in Settings, and appear only when set.

6 October 2026, the bell clears

Improved

  • The bell only holds what you can clear. A booking waiting on the customer to confirm stayed on the bell and the Bookings menu after you had read it, because only the customer could clear it. It now shows on the booking, on your dashboard and in the morning email; the bell tells you when they confirm or cancel.

New

  • Mark as confirmed, on the booking under Status → Coming, for a yes they gave you by phone or message.

6 October 2026, a customer shows only what a form still asks about

Fixed

  • Dogs, children and the rest show on a customer while a form is about them. A word named for a form that was later turned off or deleted stayed on every customer as None yet, with no way to remove it. It now shows only while a form is about it, or for a customer who has one on file.

6 October 2026, Equipment and its costs are one list

Improved

  • Equipment has two tabs. Looking after it is the list you know: servicing, where things are and who has them. Costs for your accountant is the asset register: what each item cost, the GST, when it was first used, the invoice and any disposal, with its CSV and Print.
  • Finance → Equipment costs opens the second tab. It was Asset register, a second name for the same list. If you renamed your equipment list, the Finance item follows (Vehicles makes it Vehicle costs).
  • The page is titled with your own name for the list, and an asset's card calls its accountant section Costs for your accountant.
  • The BAS worksheet's notes name the same menu.

5 October 2026, forms with a booking you cannot miss

Improved

  • The confirmation email leads with the forms. Straight under its first line, above the booking's details: Action needed: Please complete this form before your visit, with a button for each form (Complete, Sign or Check). The inbox preview names them before the email is opened. It was one line with the form's name as a link.
  • The screen after booking says so too, and so does the confirmation page a paid booking lands on: an Action needed card naming each form, with the link in the email.
  • The Before your visit email and its reminder use the same block.

5 October 2026, number boxes keep what you type

Fixed

  • No more 0 in front of what you type. Emptying a number box and typing 60 read 060, a price read 012.50, and the Not seen in days on Marketing read 190. Every number box now shows exactly what you type while you are in it, and the number it kept once you leave it.
  • The special request page says your own word for who is coming instead of Children, and its boxes no longer show made up examples.

5 October 2026, only vehicles under Vehicle trips

New

  • This is a vehicle. A box on your own equipment in Operations → Equipment, shown while Vehicle trips is on. Ticked, the asset is offered on Log a trip, its Asset tag reads Registration, and it gains an Engine capacity box.
  • Vehicles on Finance → Vehicle trips lists the business's vehicles with their make, model, registration, engine capacity and odometer, and marks any missing a registration or engine capacity. Add a vehicle works there and on Log a trip, whether or not your business uses the Equipment menu.

Improved

  • The logbook names each car the way the tax office asks: make, model, engine capacity and registration. The CSV has an Engine capacity column, the print shows it beside the registration and names any vehicle missing either.
  • Log a trip opens on the vehicle you drove last, with its odometer, instead of only when the business has one vehicle.
  • A vehicle's card in Equipment shows its registration, engine capacity and odometer from Vehicle trips.

Fixed

  • Only vehicles are offered. The vehicle box listed every piece of equipment, so an oven, an espresso machine or a fridge could be picked as the car, and a business with one asset had it chosen for it. A customer's car could be offered as the business's own. Only your own assets marked as a vehicle are offered now, and the save refuses anything else.
  • A vehicle sold during the year still prints with its registration, and trips up to the day it went can still be logged in it.
  • Editing a trip with no vehicle no longer moves it into the business's only vehicle when saved.
  • Log a trip no longer shows made up places and purposes as placeholders.
  • An asset's card shows what you typed. Notes, a supplier, a disposal note and your own fields showed a capital on every word.

Training

  • Owners: open Finance → Vehicle trips → Vehicles and check each vehicle has a registration and an engine capacity before the year end.

5 October 2026, paying expense claims back, and telling people when you have

New

  • Pay back, per person. Expenses → Owed back to the team has one block per person. Pay back records how the money went (in a pay run, by bank transfer or in cash), the day it went, an optional reference, and which claims it covered.
  • Record a whole pay run at once. Pay prep & export has Record as paid in this pay run: every claim for the people ticked is marked paid back on the pay date.
  • Choose how your business pays claims back. Settings → Invoicing & tax → Expenses → How are claims paid back?: with their next pay, or by bank transfer. The approval email then says it: will be paid back to you in your next pay.

Improved

  • People are told when they are paid back. One email per payment, saying how much, how and on which day, whether it was recorded on Expenses, on Pay prep or from a bank statement line.
  • My work leads with money owed. Owed back to you sits with the leave balances, and a My expenses card shows each open claim with a clear status (Awaiting approval, To be paid back, Paid back, Declined with the reason).

Fixed

  • A late receipt is in the pay run. Pay prep and the Xero push only took claims spent inside the pay period, so a receipt from before it, approved during it, was in no pay run at all. Every claim still owed is now included.
  • Expense settings wait for what is saved. A choice made before the settings had loaded could be overwritten, and adding a category could replace the whole list. A refused save now says so instead of showing Saved.

5 October 2026, Today in Tasks is today's work, and the top menu on a narrower window

Improved

  • Today shows today. The Today view in Tasks lists what's overdue or due today. A task due on a later day is on the Board, List and Calendar, and joins Today on its day, so ticking off a repeating chore no longer puts the next one straight back on the list. A task with no date is on the Board and List. The foot of Today counts both, and See them opens the List. With nothing due it says Nothing due today, and once everything due is done, Nothing left for today.
  • Adding from Today adds to today. On Today the quick add's date starts on today. A task added for a later day, or with no date, says so: Task added for Fri, 9 Oct.

Fixed

  • A quick add date is the whole day. It saved a 9:00am nobody chose, so a job added that afternoon showed a time already past.
  • The top menu no longer runs under the search button. On a window around 1100px wide the last section was cut off with no More, once the red counts had loaded. It now moves into More.
  • One section lit at a time. On the asset register (now Finance → Equipment costs) the menu lit up Finance and Operations together, and marked Equipment as the page you were on. Only Finance is lit now.
  • Memberships names Bookings above its title, where the menu has it, instead of Finance.

5 October 2026, quoting a booking by the hour, and holds that end when the time starts

Improved

  • A quote names its length. A quote for a service booked by the hour says how long on its line, in its email and on the customer's page: Decluttering session, 5 hours. The invoice from the booking uses the same words.
  • Change keeps the same start. Changing a quote's booking offers the time the quote already holds again, so 5 hours can become 4 at the same start.
  • Take the balance after the work. Collecting the balance has a fourth choice, Auto, after it finishes: the saved card is charged the day after the booking (or once it has finished, with 0 days), for what it comes to then. A session shortened on the day is charged for the time it took.
  • One hour, not Duration. A service priced by the hour labels its length box One hour (minutes), says each booking runs that for every hour, and warns when an hour is set to anything but 60.

Fixed

  • Changing the hours on a quote now changes the time held. A quote moved from 4 hours to 5 at the same start kept holding 4, so the fifth hour could be booked by somebody else. The new length is checked and held, and the save says so when it no longer fits.
  • Shortening a booking made from a quote now changes its line too. Its receipts and invoices kept the quote's 6 hours, $390 after it was cut to 5 hours at $325. A quote's discount is now taken off the booking's items as well, so an invoice raised from the booking no longer bills the amount before it.
  • A quote can't be accepted after its time. A quote valid for 14 days for a session tomorrow held the time for the fortnight, and the customer could accept it after the session, which booked them into the past. Until somebody accepts, the time is now held until it starts at the latest, and from then the customer is asked to get in touch. Once accepted, it stays held for the deposit until the Valid until, so a deposit taken on arrival still confirms it.

5 October 2026, renew your own licence from My Work

New

  • Renew your own licence from My Work. Each licence under My licences opens to show its number, dates and certificate, and one that has expired or is about to has a Renew button, on the card and under Needs you. Add the new certificate and its expiry date and it replaces the old one, which is kept in the history. Everyone who can add or edit licences is told, with a link, so they can check it.

Improved

  • Straight to the licence. From My Work, or from the notice that somebody renewed theirs, Open in Licences & certificates opens that licence on the page.
  • Certificate files stay private. They open only through the app, after its check, for the people allowed to see them.

5 October 2026, more of a new starter's details, and full names on the Team page

Improved

  • Hire to team fills in the rest of the profile. When the form asks, a new team member's pronouns, personal email, a second emergency contact, job title, work rights and when they expire, uniform size, and medical or accessibility notes now arrive with the rest, ready to check before you press Hire.

Fixed

  • An entry asking for first and last name separately is filed under the whole name, on the form's board and on the customer record it makes, not the first name alone.
  • The Team page shows a preferred name with the surname, so two people known as Sam can be told apart.

5 October 2026, hiring from a form, and forms that open from a personal link

Improved

  • Hire to team fills in more of the record. When a form asks for them, a new team member's preferred name, date of birth, home address, emergency contact and start date are filled in from their answers, under Also added to their record, for you to check before you press Hire. Separate first and last name questions are now read correctly. Bank, tax and super answers stay on the entry.

Fixed

  • A form set to Only via a personal link could not be opened. Only the feedback request after a visit sends personal links, so on any other form the tick shut the form for everybody, and its link said it had expired. The option is now offered only where personal links are sent, a form already ticked shows a warning in the builder, and its link says it opens from a personal link. Untick it to let the link work.

4 October 2026, your booking page stays at /book

Fixed

  • The booking page keeps the address you shared. Opening /book, or one of your own booking pages at /book/<address>, used to change the address bar to /experiences, so a link copied from the browser spread a different address from the one you gave out. The page now stays at /book. Older links ending in /experiences still work and open the same page, including a link straight to one service.

4 October 2026, any bank statement file, PDFs read by AI, and like last time

New

  • Every kind of statement file. Besides CSV, the Bank statement now reads OFX (also called QFX or QBO) and QIF, the files Xero and MYOB take, with no columns to choose. Rows pasted straight out of a spreadsheet read as columns too.
  • A PDF statement, or photos of its pages. Read by AI and shown line by line to check and correct before anything is imported. Where the statement prints its opening and closing balances, the screen says whether every line adds up to them and names the row when they do not. The file is deleted once read.
  • The balance check on every import. Where a file carries a running balance, each line's balance has to follow from the one before. A missing line, a column read wrongly, or money in and out swapped is named before you import.
  • Like last time. A line from a payee you dealt with before offers to do the same again in one click: the same category and words, and the GST when it was an eleventh, or the same reason for setting it aside.
  • Accept N suggestions takes every suggestion on the statement at once, each checked as its own click would be.
  • Search the lines by words, date or amount, and choose one account at a time when there are several.
  • Attach the receipt or tax invoice when recording an expense from a line. Over $82.50 with GST, the screen reminds you a GST credit needs the tax invoice.
  • New reasons to set a line aside: tax paid to or refunded by the ATO, wages or super through payroll, and a loan. The line says when it looks like one of them.

Changed

  • Deleting an expense, voiding an invoice payment or deleting an asset that a bank line explains sends the line back to To look at. It used to stay explained by a record that was gone. Changing the cost of an asset a line is matched to is refused until the line is opened again.
  • The same days brought in as a different kind of file, or reworded by the bank without a running balance, are recognised by their payee and not added twice.
  • Stripe payout is now Card takings paid out, and covers card terminal providers' payouts too.
  • Matching a large statement is much faster.

Fixed

  • Rows pasted from a spreadsheet came in as one column and could not be imported.
  • A statement in the old Windows character set lost its accents ("CAFÉ").
  • A line over about twenty one million dollars passed every check and then failed to save. Twenty million is now the limit, named before import.
  • The AI assistant added a foreign account's lines to the Australian total still to look at.

3 October 2026, a team on a booking, and your own bookings on My work

New

  • A team on a booking. Add the people working a booking besides who it is with, such as a party's host, a crew or a second instructor. Each one is shown with whether they are free for its time, and why not. Being on a team holds that person's time, so customers cannot book them online then.
  • My bookings on My work, under your business's own word for them: today and the next two weeks of bookings with you or on your team. A team member who cannot open Bookings can now see their own day in the app.
  • The person a new booking is with is told once it is confirmed: straight away when there is nothing to pay, once the payment goes through, or once a request is approved.

Changed

  • A booking records whether the customer chose who it is with, so changing the person emails them by default only when they did.
  • The calendar feed includes the bookings you are on the team of.
  • In the Calendar's Staff day view, a booking somebody is on the team of shows in their column too, marked Team.

3 October 2026, who a booking is with

New

  • Change who it's with. A booking can be given to a colleague, or a party to the other room, at its own day and time, from the booking itself. Everyone set up for the service is listed with whether they are free then, and why not when they are not: not rostered, outside their hours, or another booking at that time.
  • In the Calendar's Staff day view, drag a booking into someone else's column or to a new time. The panel checks they are free before anything moves, and says why when they are not.
  • The people involved are told. Whoever a booking now belongs to, and whoever it left, get a notification, on their phone too when they have it switched on. So do the people whose booking is moved or cancelled by a customer or a colleague.

Changed

  • The With row on a booking now names who it is with, from the booking itself.
  • In Staff day, a booking shows the customer's name first, then what they booked, and two bookings at the same time sit side by side instead of one hiding the other.
  • The Calendar uses your own words for bookings and guests in the middle of a sentence, without a capital letter.

Fixed

  • Two people changing the same booking at once can no longer undo each other without knowing: the second is asked to open it again.
  • A booking that has already started is changed for the record only, and the customer is not emailed about it.

3 October 2026, a new look for Your account and the forms your customers fill in

New

  • Your account is laid out as a dashboard in your colours, for any kind of business: a row of counts, a To do list of what needs the customer now, a card for each booking with its date, status, reference and forms still to fill in, and a card for each dog, child or other record you keep, with a picture and the first detail from its form. Invoices and quotes show where each one stands. Your phone, and your address when you show it to customers, sit in their own card.
  • Your account shows the amount a customer owes across their invoices, and each invoice's total, what has been paid and what is left. The amounts are worked out exactly as the invoice's own page works them out, so the two always agree.
  • Customers can add a dog, child, vehicle or other record of their own from Your account, when you keep a form of details for it. The form opens for them straight away.
  • Members see their membership on Your account: the plan, whether it is active, when it renews, and a link to their member card. A payment that did not go through is at the top of their To do.
  • The forms on a booking's own page show how many are done, with a progress bar, and the form page carries your logo.
  • Your booking page shows each service's photo beside its name, or a picture for its type when it has none.

3 October 2026, several records on one bank line, foreign accounts, and receipts with their bank line

New

  • One bank line can explain several records: a transfer that paid two invoices (one of them only in part), a payment back to a staff member for several claims, one BPAY for two bills. The ticked records must come to the line to the cent, and the rest of a payment out can be recorded as an expense. It is all or nothing: if any part cannot be saved, none is kept.
  • A claim still owed back to a staff member is matched to the transfer that paid it, and marked paid back on the bank's date.
  • A statement from an account in another currency, such as a Wise US dollar account, can be imported. Its lines are matched to expenses in that currency by their own total, and totals keep each currency apart.
  • A receipt waiting in the receipts inbox is offered beside the bank line that names its supplier, to record the two as one expense. A receipt arriving after its bank line was recorded offers to attach itself to that expense instead of becoming a second one, and the expense takes the receipt's supplier name.

Improved

  • Opening a line again puts back every bill and claim it marked paid, and says what it recorded that stays.
  • An expense in another currency whose estimate is near a bank line is suggested beside it only when the bank's description names its supplier. Otherwise it is in the list when you open the line.

3 October 2026, receipts in another currency and the bank statement

New

  • Receipts in another currency. Choose the currency beside the amount on a claim, a bill or a receipt from the inbox. The receipt's own figure is kept, the Australian figure is estimated at the Reserve Bank's rate for its date, and matching its bank line replaces the estimate with what the bank actually charged. Read the receipt for me now reads the currency too.
  • A receipt filed in Australian dollars that was really in another currency is put right from its bank line (Same supplier, different amount) or from the Currency link on its row in Expenses.
  • The bank's own fee on a foreign purchase is named on the statement, and recorded in one click when you keep a category for bank fees.
  • Expenses the bank statement confirms say so on their row.

Improved

  • Importing a statement again is always safe: a line the bank reworded between exports is still recognised by its running balance, and a statement already here under another account name is refused, naming that account.
  • A line that may be a second copy is marked, and any open line can be removed.
  • Opening a line again puts back what its match changed: a bill is unpaid again, an expense goes back to its own figure.
  • Deciding a line no longer reloads the whole statement.
  • Statements with account details above the header, amounts written "-$12.50", and dates with the weekday in them now read.

Fixed

  • Two clicks on one line, or two people at once, could record the same expense or invoice payment twice. The second is now refused.
  • After a thousand explained lines, older records could be offered again as though nothing explained them.
  • A payment entered later than the day it was received was not offered against its bank line.

3 October 2026, how long a booking runs

New

  • Change how long a booking runs, from the booking (How long, then Change) or by dragging its bottom edge in the Calendar's Staff day view. The time it gains is held. It will not double book a person or room, and says what is in the way; past closing time, blocked out time and daily limits go ahead with a note. The customer is emailed the new finish time unless you untick it.
  • What a new length does to the price. A service priced by the hour moves in whole hours and its price follows, shown before you save. A set price stays as booked unless you choose Charge for the extra time (or Take the time off the price), starting from the booking's own price for its length. A booking paid in full gets a draft invoice for its extra time instead, and its invoice line names the length it ran for.
  • Log work on a booking starts at the length just saved, without reopening it.

Fixed

  • A task saved into the Done lane from its drawer is now done, and off the overdue list. Moving one back out reopens it.
  • A quote's deposit, backed out of at the card payment page, now says the time is held until the quote's Valid until, rather than reading as a confirmed booking.

2 October 2026, quotes for bookings

New

  • A quote can be for a booking. Choose what they are booking with the same booking form your website uses, with a time or with the time left to them. A dated quote holds its time until its Valid until day, and the booking is made when they accept, or once the deposit is in when the service asks for one.
  • Customers can decline a quote from its page, with a reason if they want.
  • Settings → Invoicing & tax: How long a new quote is valid for.
  • By quote only, on a service: kept off your booking page and the kiosk, and booked from a quote or by your team.

Fixed

  • Pressing Esc in a panel opened from another panel, or in a confirm box, closed everything open at once, including a quote or invoice you had not saved. It now closes only the one on top.

2 October 2026, reminder confirmations

Improved

  • A reminder's Yes, I'll be there button now opens the customer's booking with a Confirm I'm coming button, instead of confirming as soon as it is opened. Some email security filters open every link before the customer reads it, which could confirm a booking nobody had answered.

Fixed

  • The add to calendar buttons on a ticket and on an invitation no longer carry the link that lets the customer change or cancel the booking. A guest, or anyone a ticket was forwarded to, could have used it.
  • A reminder opened after the booking has happened says so, rather than confirming it.

2 October 2026, quotes

Fixed

  • A quote emailed without an Accept button now tells the customer how to go ahead: reply to the email, or call your number when it is set. It used to end at the total.
  • Accepting a quote online no longer opens a job for a business that does not use Jobs, and its alert no longer asks for one to be raised by hand.
  • The customer's quote page no longer prints an ABN that fails the ATO check, and prints a valid one spaced, as every other copy does.

Improved

  • Plainer words on the Accept button and the thank-you, for any kind of business.

2 October 2026, invoice due dates

Fixed

  • Invoices raised from Ready to bill, Raise all drafts, the scheduled billing run and the assistant now take the customer's saved payment terms or your default due date, as the editor always did. They had no due date, so they were never overdue and never chased.
  • Convert to invoice no longer copies the quote's expiry in as the due date. The invoice takes its own terms, and the customer's billing address and ABN.
  • An invoice raised before 10am is no longer dated the day before.
  • A new invoice opened from a customer, a job or Work logs takes the customer's saved terms, or your default.
  • Picking a customer on a new quote no longer sets the quote's validity from their payment terms.
  • Choosing a payment term on an existing invoice counts from its issue date.

Improved

  • A draft with no due date says so above Email. An invoice whose date disagrees with the days your payment wording promises says so before it is sent.

2 October 2026, guest waivers

New

  • Forms each guest signs from the invitation: set a form's Filled in by to Each guest, from their invitation. After replying, each guest's parent or guardian signs it, one signature covering the children they list, with a copy by email. The booking shows who is signed for and lets a parent sign at the door on your device; Check in names anyone still to sign; the host sees who is signed, never the answers. The children's activities set-up includes one, switched off.

Fixed

  • A form used with bookings can no longer be sent through its classic public page with a booking's link, which skipped the rules that link carries.
  • Forms your customers fill in, on a booking's link or a public link, no longer lose what was typed while a slow phone was still loading the page. The form stays greyed out until it is ready.

2 October 2026, daily limits and drop-off bookings

New

  • Daily limits, in Settings → [your booking word] & pricing: how much you take each day, across the services you pick, counted by bookings, by the people each booking brings, or by hours of work, with a different number on any weekday. A full day is not offered online; your team sees it marked full and can still book it. A stay counts on every night of it.
  • Dropped off bookings, on any appointment: a day and a drop-off time, many customers at the same time, worked on through the day and collected once done, with an optional time it is ready to collect.
  • The calendar shows how full each day is.

Improved

  • Booking emails name what was booked in your own word, such as Service, instead of always Experience.
  • Moving a booking checks the whole length of an hourly hire at its new time.
  • Help tips and page headings name your menus in your own words.

2 October 2026, forms that go with bookings

New

  • Use with bookings, on any form: each booking carries its own copy, sent with the confirmation, asked while booking or after the visit, and shown on the booking as done or to do.
  • Details to keep, answered once and confirmed with one tap next time, and agreements, signed again only when due. A household shares its details.
  • Each dog, child or other one a client brings, with its own answers, its alerts, and dates that run out, such as a vaccination, which can hold a new booking for your OK.
  • When it's answered: an answer can raise an alert for your team, hold a new booking for your OK, or add a task for each day of the booking.
  • Forms your team fills in on a visit: an arrival check, a log for each day and a report card, with a copy for the client when somebody presses Send to the client.
  • Set up for your kind of business: the forms dog care, children's activities, home organising and cleaning, and trades and repairs use, made in one go and switched off for you to check.
  • Your account, off until you switch it on: a page where each customer sees their bookings, their details, what they signed and their invoices.

Improved

  • A service's Forms list has Add a form, and asks first when the service has changes not yet saved.
  • Help answers from every section of this manual.

18 September 2026, the year end pack for your accountant

New

  • Profit and loss, on Accounting & reports under Dates: money in, money out and what is left for any dates, cash or accrual, with CSV and print.
  • Vehicle trips (Finance), one record per trip with the odometer, the distance, the vehicle and the purpose, and a remembered distance per client.
  • Bank statement (Finance), import the CSV from your bank and tick each line off against what is recorded. Not a bank feed; nothing connects to your bank.
  • Asset register (Finance, part of Equipment & maintenance, now Equipment's Costs for your accountant tab), the GST, first use date, business use and invoice on each asset, and disposals.

All four record and total. None decides what is claimable, applies a rate or works out depreciation; that is your registered tax agent's work.

Improved

  • The BAS worksheet claims the GST recorded on assets bought in the period as capital purchases (G10), so an asset no longer has to be filed as an expense to reach 1B.
  • A bank line can be matched to an asset on the register, so a van or a laptop is recorded once.
  • On Log a trip the odometer and kilometre boxes work in every direction: two readings give the kilometres, kilometres against a start reading give the end reading, and the form opens with the vehicle's running odometer already in the start box, so a trip is logged by changing the last few digits.
  • A trip can be attached to a job. Pick the job when you log the trip and the client, the destination and the purpose fill in from it; the job then shows Kilometres driven beside its hours and parts. The kilometres stay on the trip and the job only reads them.
  • Vehicle trips takes any two dates, not only a financial year: press Dates beside the year chips and the figures, the CSV and the print all follow them.
  • An odometer counts up, and the trip form now says so. A reading lower than the vehicle's last one is flagged as you type, and a reading that cannot be true beside another record is refused, naming the record it clashes with.
  • By road on Log a trip offers the road distance from your business address to a client's, each way and there and back. An estimate to accept or ignore; the odometer stays the record.

Action needed

  • Owners: switch on Vehicle trips and Bank statement under Settings → Modules → Finance if you want them. Owners see them at once. Managers and bookkeepers see them once their role is granted the new permissions on the Roles & permissions screen, opened from the Staff list.

What to communicate on each release

  • Anything that adds a permission (so admins can grant it).
  • Anything that adds a module (so admins can switch it on).
  • Anything that changes a workflow staff follow daily.
  • Keep it short; link to the relevant module chapter for detail.

Suggested hands-on exercises

  • Create a Live experience and take a test booking; check it in.
  • Raise and send a test invoice; mark it paid; export accounting.
  • Post a must-read announcement and confirm acknowledgement tracking.
  • Build the week's roster, clock a shift, approve and export timesheets.
  • Add an asset with a service interval; log a service. Then add its cost, GST and invoice and read it on its Costs for your accountant tab.
  • Export a month of transactions from online banking as a CSV, import it on the Bank statement and decide three lines: match one, record one as an expense, set one aside.
  • Log a trip to a client with both odometer readings and tick Remember this distance; log a second trip to the same client.
  • Set up one safety checklist and complete a check with a reading.

Trainer tips

  • Turn on only the modules the business uses before training, so screens match reality.
  • Teach with the business's own wording (it's already configured).
  • Encourage the AI assistant as a self-serve "how do I…?" coach, it links users straight to the right screen.

Support-technician reference

  • Start from the Troubleshooting guide (symptom-first), then the relevant module chapter's Troubleshooting/Error-messages section.
  • Most "I can't see X" issues are module off or missing permission.
  • The nav-collapse symptom (Dashboard + Messages only) is a session desync, full sign-out/in.
  • Saves that fail right after a release may await a provider-side database update.
