Troubleshooting guide
A consolidated, symptom-first guide. For module-specific issues, each module chapter also has its own Troubleshooting and Error-messages sections.
Signing in & access
| Symptom | Cause | Fix |
|---|---|---|
| Can't log in | Wrong email/password | Use the email your account was created with; Forgot your password? to reset. |
| The login page says the reset link has expired or has already been used | Reset links work once, for a short time, and a newer one replaces the older | Choose Forgot your password? again and use the newest email. |
| Setting a new password says the code didn't match | The code from your authenticator app was mistyped, or changed just before you saved | Type the code showing now and save again. Nothing is saved until the code is right. |
| A reset asks for an authenticator code you can't get | The phone with your authenticator app is lost or replaced | Ask someone with at least your access to use Reset 2FA on your card in Team, or contact HappierBiz support if there is nobody. Then ask for a new reset. |
| The reset email never arrived | It went to spam, or to a different address than the one you sign in with | Check spam or junk and the address you sign in with. Support can see whether it was sent and delivered. |
| "Set your password" on first login | Staff created with a temporary password | Set your own password to continue, this is expected. |
| "Access removed" | A manager switched off your access | Contact your manager. |
| "Account paused" | The whole workspace is paused by the operator | Contact support / your owner. |
| Reactivate screen | Subscription lapsed | The owner re-subscribes on Plan & billing (data is safe). |
| Red line: "Your last HappierBiz payment didn't go through" | The card for your plan was declined | Plan & billing → Update card, then Pay now. |
| Still says Payment failed after updating the card | A card added on Stripe's page waits for the next automatic retry | Press Pay now on Plan & billing. |
| Pay now: "The card was declined." | The card on file is still being refused | Update card to add another, then Pay now again. |
| Pay now: "Your bank wants you to confirm this payment." | Your bank asks for a confirmation | Update card, choose the card on Stripe's page and confirm it with your bank. |
| Auto-signed-out | Inactivity timeout (security) | Sign back in. |
Navigation & visibility
| Symptom | Cause | Fix |
|---|---|---|
| Nav shows only Dashboard + Messages | Temporary browser↔server session desync | Sign out fully and back in; if it persists, tell your administrator. |
| A page/menu is missing for one user | Module off, or role lacks the permission | Turn the module on (Settings → Modules) and grant the permission (Team → Staff list). |
| A whole group is gone | All its items are off or not permitted | Enable at least one tool in that group, or grant a permission. |
| Wording differs from the manual | Your business renamed it | Expected, HappierBiz uses your words. |
| A document is missing for one user, but the page is fine | An access rule on that document or its folder | Open Operations → Documents, select the settings icon on the document or the folder's card, then Who can access, and use Check who can see this. It names the rule that decided each person's access. |
Document access
| Symptom | Cause | Fix |
|---|---|---|
| I set a rule but I can still see the file | You are a document super user (the Owner always is), and no rule can lock you out | Working as intended. Test with Check who can see this, never with your own screen. |
| Somebody still sees a restricted document | A more specific rule is overruling yours (document beats folder beats centre), or they hold the super-user permission | Check who can see this names the deciding rule. Adjust it there, or remove the super-user permission from their role in Team → Staff list. |
| A staff member says a must-read vanished from their list | They were given No access, so it left their must-read count with it | Intended: a document nobody can open should not nag them to read it. Give them Can view if they were meant to have it. |
| One file in a shared folder needs locking down | Folder rules apply to everything in it | Open Who can access from the settings icon on that document and turn on Use only this list. |
| I renamed a folder, is it still restricted? | Yes. The access rule moves with the name | Nothing to do. Check who can see this confirms it if you want to see for yourself. |
| I want to undo all of it | Rules are additive and removable | Open Who can access, remove the rules, save. With no rules the folder goes back to the default: everyone with View documents can view. |
| There is no way to set access on a folder | Folder rules are for super users only | Ask an owner to grant See every document & set who can access what in Team → Staff list. |
Plans & modules
| Symptom | Cause | Fix |
|---|---|---|
| Module locked/greyed | Not in your plan | Upgrade on Plan & billing. |
| Turned a module on but nothing changed | Role lacks the matching permission | Grant it in Team → Staff list. |
| A permission section is missing on Roles | Its module is off | Enable the module first. |
Bookings
| Symptom | Cause | Fix |
|---|---|---|
| Customers can't book online | Experience not Live / no spaces or equipment / no availability | Mark it Live, attach spaces or equipment, check the Availability preview. |
| I can't take an extra off the invoice or receipt | A booking's documents follow the booking | Change it on the booking: Change what’s booked on the document opens it. Once a booking is paid in full it can't be changed, and anything added goes on its own invoice. |
| One date offers nothing, other dates are fine | That date is a closure, or it is blocked out | Roster → Closures for whole days; Calendar for blocked-out time, which shows a "Not taking new bookings" tag with Unblock. Neither appears in the Availability preview, which reads your setup only. |
| One room is not offered on one date | That space is blocked out for the date | Open the date on the Calendar and Unblock it, or leave it if it was deliberate. |
| I want to stop bookings for a day without closing | A closure would shut the whole business | Calendar → Block out: a day, part of a day, or a run of days, for everything or just one room or offering. |
| Blocked a day but a booking is still on it | Blocking stops new bookings only | It never cancels what is already sold. Cancel those in Bookings if you meant to. |
| No times when rescheduling | No open slots that day | Pick another date; check the space or staff hours/roster, and whether the date is blocked out. |
| A returning customer's Booked before? code never came | The code goes by email only, to the email on their customer record. Nothing is sent when the number or email is not on your records, or the record has no email | Ask them to check that inbox and its junk folder, or press No code? Fill in your details instead and book as normal. See Bookings, E6. |
| Booking missing from Upcoming | It's a request, cancelled, or in the past | Check the Special requests and Past tabs. |
| Calendar looks empty | Staff filter is on, or no spaces/staff | Clear the filter; add spaces or staff. |
| A customer can't get into a video call | Too early (more than ten minutes before), finished (two hours after the start), cancelled, or the link in Connections is wrong | The page they land on says which. Correct the link under Settings → Connections → Video calls and every booking follows. See Bookings, A6. |
| No This happens online switch on a service | No video link saved yet | Save your meeting link under Settings → Connections → Video calls; the switch then appears on every service. |
| The video link won't save | It isn't a room: your app's home page, a calendar event, a Teams chat, a host's start link, or a link starting http:// |
The message says what to copy instead. Each app's steps are under Where to get your link in Settings → Connections → Video calls, and in Bookings, A6a. |
| Video calls end at 30, 40 or 60 minutes | The meeting app's free plan | The limits for each app are in Bookings, A6a. The app's paid plan lifts them. |
| A customer walked straight into a call already on | The meeting app's waiting room or lobby is off, or Teams' Who can bypass the lobby is set to Everyone | Turn it on; on Teams, set it to Only organizers and co-organizers. Where it is in each app: Bookings, A6a. |
| Customers are asked to sign in, or told only people in your organisation can join | Your business account (Microsoft 365, Google Workspace, a company Zoom or Webex) turns away outsiders | Change that setting in the account's admin settings, then open your link in a private window to check. See Bookings, A6a. |
| You are stuck in your own waiting room or lobby | You joined from a different account than the one that made the link, or signed out | Join from the account that made the link. |
| Remove on the video link is refused | Services still happen online | Turn off This happens online on the services it names, then remove it. |
Check-in
| Symptom | Cause | Fix |
|---|---|---|
| No one on the door list | Wrong experience/date selected | Choose the right experience (or All experiences) and date; clear search. |
| Scanner won't read tickets | Camera blocked or experience isn't ticketed | Allow camera access; ensure ticket delivery on the experience. |
| Kiosk shows the wrong people | It shows expected arrivals only | Check the experience and date set on the kiosk. |
Jobs
| Symptom | Cause | Fix |
|---|---|---|
| A cancelled job still shows a visit | The visit is done, somebody pressed Start on it, or its day had already gone when the job was cancelled. Those stay as the record. | Nothing to do. If it should not be there, open it under the job's Visits and Unschedule. |
| A done job's visit is still on someone's run sheet | Marking a job done leaves its visits as they are | Unschedule the visit from the job's Visits list or the Schedule board. |
| I reopened a cancelled job and its visits did not come back | Cancelling takes the visits still to come off for good | The job is in To schedule on the Schedule board. Book it in again. |
| I cancelled a job but the customer's booking is still on | Cancelling a job does not cancel the booking it came from | Cancel the booking in your bookings menu, which tells the customer. |
| Cancelling a job did not offer to email the customer | The job has no customer, it had no visits still to come, or its booking still stands | Add the customer to the job first, or cancel the booking, which tells them. |
| A job we are still working on shows Billed | Everything on it was on an invoice when it was marked done. Billing part of an open or on hold job never closes it | Press Open at the top of the job and carry on. What is billed stays billed, and new work bills as normal. |
| I pressed Done and the job went to Billed | Everything on it was already on an invoice, so there is nothing left to bill | Nothing to do. Work or a part added to it later sends it back to Done, ready to bill. |
| A job is still Done after I billed it | Something on it is still waiting: an entry with no rate, a forgotten timer to confirm, work waiting for approval, or a part with no price | Open the job, sort out what is waiting and bill it from Ready to bill, or write it off. |
| Parts typed on a job weren't there next time | The part was typed in the empty row and the job closed before it saved | A part now saves when you move off its row, and closing asks about anything not saved. One that says Not saved yet needs what it names, usually a price. |
| The hourly rate shows lower than the rate I meant, such as $136.36 for $150 | It was set as a figure including GST; rates are now typed the way you price invoices, ex GST for you | In Jobs → Settings, type the rate you charge before GST. The figure with GST shows under it. |
| A part I ordered isn't on the job | The order was raised without the job, or the line was set to Not for a job | Order it from the job (Order parts), or add the part to the job by hand. |
| A part ordered for a job went from the job | It was marked Not supplied when the order was received, or the order was cancelled, rejected or voided | Press Undo on its line when receiving the order (Receive the rest, or Update receipt on a received order) to put it back, or order it again. A part still to come stays on the job. |
| Order parts is not on the job | It needs Raise purchase orders (or Approve purchase orders, or Create / send invoices), with Invoicing and purchase orders on | An owner ticks Raise purchase orders for the role in Team → Staff list → Roles & permissions. |
| A Billed job is back in Done | Something on it is to bill again: its invoice was voided or the draft deleted, an entry was marked unbilled, more work or a part was added, or a write-off was put back | Bill it from Finance → Invoicing → Ready to bill. |
Money
| Symptom | Cause | Fix |
|---|---|---|
| A customer's receipt link says This receipt isn't available | Receipt links are switched off, the link was cut short when it was copied, or it was a test receipt that has since been removed | Open the receipt in Finance → Invoicing → Receipts and press Send again, which emails a working link. Receipts on a real payment are never removed, so their links keep working while receipt links are on. |
| Can't take payments | Stripe not connected / charges not enabled | In Finance → Money owed, create your Stripe account if you have none, then Connect my Stripe. If the card says Finish setting up your Stripe account, open your Stripe dashboard, finish what it asks, then Check again. |
| Balance won't auto-charge | No saved card | Take payment another way and Mark as paid. |
| A balance charge failed | The saved card was declined | Nothing to do straight away: the customer has been emailed a payment link, and the card is tried again about once a day. If they pay you another way, Mark as paid. |
| Payout missing | Follows Stripe's schedule | Check the Payouts tab and your Stripe dashboard. |
| Invoice not in accounting export | Draft, or outside date range | Send it; widen the export dates; only Sent/Paid invoices export. |
| GST looks doubled in Xero | Imported without "Tax Inclusive" | Re-import as Tax Inclusive; amounts are GST-inclusive. |
| "Your Xero already has an invoice numbered INV-0007 (authorised), so nothing was pushed" (or a quote or purchase order) | Xero files invoices and purchase orders by their number and already holds a different one with that number. HappierBiz numbers documents the way Xero does (INV-0001 onwards), so a business that also invoices in Xero holds the same numbers | For this document, renumber the one in Xero, or enter it in Xero by hand: a number already issued here never changes. To stop it happening again, give new documents a prefix of their own in Settings → Invoicing & tax → Document numbers. A draft with the same number, customer and total is this document from an earlier push, and is linked rather than refused. |
| "Already authorised in Xero, so it was left alone" on Re-sync | The draft was approved, paid, voided or deleted in Xero after it was pushed | Make the change in Xero itself; Xero does not let a draft be written over an approved document. |
| A row in Sync to Xero says "Xero does not have account …" | The sales or expense account chosen in Accounting settings is not in your Xero, and Xero keeps the draft with no account on its lines | Choose the account in Format & mapping (Check my Xero setup lists what is missing), then press Re-sync. For a reimbursement bill, set the account on the bill in Xero. |
| A reimbursement bill Xero refused is refused again the same day, after putting the cause right in Xero | The same bill sent again on the same day is answered with Xero's first answer, which is what stops a repeated push making a second bill | It goes through from the next day, or at once if anything about it changes here, such as the expense account. |
| Pay prep: "No bills reached Xero" | Xero refused every person's bill; the reason follows | Put the reason right and press Push to Xero again. |
| A payment says "Choose a Xero account for EFTPOS payments in Accounting, then this one goes." | Send payments to Xero is on, and no Xero account is chosen for that way of paying, nor for Anything else | Choose one under Which Xero account each payment goes into in Accounting & reports and Save settings. It goes on the next sync. |
| A payment says "INV-0007 is waiting for approval in Xero" | The invoice went to Xero as a draft, before Approved was chosen | Approve the invoice in Xero. The payment follows on the next sync. |
| A payment says "Xero has $40.00 owing on INV-0007 and this payment is $50.00" | Xero already holds payments for this invoice, often the same money entered in Xero by hand | Check the payments on the invoice in Xero. Remove the extra one there, or void the one here. |
| A payment says "Xero has not been given permission to record payments" | Payments were switched on, but Xero has not been asked for its payments permission yet | Select Reconnect Xero in the Xero sync box and approve payments when Xero asks. |
| A payment says "Voided here, but Xero kept it" | The payment was already reconciled to a bank line in Xero, and Xero will not remove it | Remove it in Xero, after unreconciling the bank line if needed. |
| An invoice in Sync to Xero says "Xero has a payment of … more than the … owing here, so it was not copied" | The same money was recorded here and in Xero on different days, or a payment here is not in Xero | Void whichever entry is the duplicate, here or in Xero. |
| "It has payments in Xero, so it was left alone" on Re-sync | The invoice was sent approved and Xero has a payment on it, so its lines can no longer change | Make the change in Xero, or issue a credit note. |
| "This booking's Xero invoice is already authorised at $165.00, and this receipt is for $185.00" | The booking's invoice was approved in Xero, then the booking was re-priced here | Change the invoice in Xero to the new amount; the next sync links the receipt to it. |
| Document numbers: "INV-0080 is already used, so start at 81 or higher." | That prefix already has documents up to that number, and two documents can never share a number | Set the next number to the one it names, or higher, or choose another prefix. |
| Document numbers: "Invoices and quotes can't share the prefix HB." | Every number is unique across all your documents, so each kind needs its own prefix | Give one of them a different prefix. |
| Check my Xero setup: "Your Xero already has an invoice numbered …, the next number here" | Your Xero uses the same numbers as here (both start at INV-0001) | Give invoices a prefix of your own, or a next number past your Xero invoices, in Settings → Invoicing & tax → Document numbers. |
Customers & marketing
| Symptom | Cause | Fix |
|---|---|---|
| New customer not in directory | Booking had no email | Add the email; the directory groups by email. |
| Duplicate customer records | Two different emails used | Standardise on one email going forward (no merge). |
| Marketing won't reach someone | No consent / no visits / unsubscribed | Check the consent control on their record. |
| "This quote has been accepted, so what it charges can't change here." | An accepted quote keeps what was agreed: its lines, prices, discount and options | Use Reopen on the quote, change it, then send it again for them to accept. Its first acceptance stays on its Acceptance record. |
| A customer says the page asked them to refresh before accepting | The quote was changed after they opened it, so they were about to accept a price they had not seen | Ask them to refresh the page and accept again. |
| "Record which options they chose first" when making a quote into an invoice | A quote with options is billed only for what was accepted, and nothing has been yet | Press Accepted on the quote and record their answers, or wait for them to accept online. |
| "A quote for a booking can't have options." | The booking's own extras do that job | Take the options off the quote and add them to the booking as extras. |
| A customer accepted a quote and chose a day, but it is not in the bookings list | The day is a visit on a job, not a booking | It is on the Calendar in every view, marked Job, on Jobs, and on the quote itself (booked for …). Select it on the Calendar to open the job. |
| Your logo is hard to see at the top of your emails or on the top bar | Logo style is Plain, so a dark logo sits straight on your colour | Settings → Appearance, set Logo style to Tile, then Save branding. Emails already sent keep their look. |
| "No one matches this audience" | Empty opted-in segment | Grow opt-ins or pick a broader segment. |
| An invoice went to the person who books, not their accounts team | Their record had no Accounts email when the invoice was made, or the email was changed on the invoice | Add the Accounts email in their Address and billing: unpaid invoices going to their own email move to it. For one already sent, open it, correct the email and send it again. |
| Can't pick the state for an address overseas | Country is empty, so the address is Australian | Type the Country first; the state box becomes State or region. |
| "Add the billing address, or untick Bills go to a different address." | Bills go to a different address is ticked with the billing address empty, so their bills would print no address | Fill in the billing address, or untick it to keep one address. |
Team
| Symptom | Cause | Fix |
|---|---|---|
| Recent changes or the Activity log says System | Nobody made the change in the app: an automatic task, or a change made directly by our support team. Changes from before 12 October 2026 can also show System | Nothing to fix. If you don't recognise a change, Contact support. |
| Leave doesn't block bookings | Request not approved | Approve it, pending leave doesn't block. |
| Leave for part of a day shows no LV | They are still clocked in, so the clock says they are still there; the leave is still waiting for approval; or their own confirmed timesheet sets that day | Clock them out at the time they left (Record leave offers it, or edit the punch on Timesheets). Approve the leave. A confirmed timesheet's own hours stand. |
| "… already has … for … Change it on the Leave page first." (Record leave) | Leave or a request of theirs already covers some of those hours | Open Leave, cancel or decline it, then record the hours again. Leave of another type says to cancel it first: somebody on annual leave who falls ill takes personal leave instead. |
| "You can't record leave for yourself." | Nobody records or approves their own leave | Ask for it on the Leave page; another manager approves it. The owner can record their own. |
| Finalise says "Decide the leave in this period first" | Paid leave in the period is still waiting for a decision | Approve or decline it on the Leave page or in Approvals, then finalise. |
| Staff can't ask for leave on clocking out early | No shift today, it runs past midnight, the Leave module is off, or they clocked out within a quarter of an hour of the end | Request it on the Leave page instead, or a manager records it from the shift. |
| Hours wrong on timesheet | Clock entries off | Adjust by ±hrs with a note; approve the week. |
| Nobody was told when somebody clocked in with no shift | The email is off by default | Tick Email the timesheet approvers when someone clocks in with no shift under Settings → the "Team" tab → Time clock. The day reads Not rostered on Timesheets either way. |
| Saturday and Sunday rates set in HappierBiz, but Xero still pays them as Ordinary | Penalty rates only price the wage estimate here, and the rate names in Finalise & export only label a payroll file | In Xero, add Saturday and Sunday earnings rates as a multiple of the ordinary rate (they don't need adding to anyone's pay template). Reload Pay prep & export, match them on the Xero payroll card, Save matches, then Send again. Steps in Roster & timesheets, section 7c-v. |
| Sending timesheets to Xero says "Couldn't work out the hours for the week of ..." | The hours for that locked week could not be read at that moment | Nothing was sent and nothing changed. Press Send again. The week does not need unlocking. |
| No Saturday or Sunday choice in the Xero payroll card's pay categories | Xero has no such earnings rate yet, or the page was open before it was made | Create it in Xero (Roster & timesheets, section 7c-v), then reload Pay prep & export. |
| Weekend hours paid at the ordinary rate in Xero | No Xero earnings rate is matched for Saturday or Sunday, so those hours went under Ordinary. The result after each send names them | On Pay prep & export, the Xero payroll card, Setup: pick the earnings rate for each day, Save matches, then send again. Drafts are updated; an approved timesheet is changed in the Xero pay run. |
| Leave to check in Xero lists somebody's leave | Xero already holds different leave over those days (it was changed here after it was sent, or typed into Xero by hand), or leave sent from here is no longer here | Change or remove it in Xero (Payroll, then Leave) so it matches here. While they differ, nothing is sent, so it is never booked twice. |
| "Xero no longer has this organisation connected to HappierBiz" | The connection was removed in Xero, or Xero's demo company was reset | Connect Xero again under Settings, Connections. |
| The Xero payroll card says saved matches are not in your organisation | A different Xero organisation is connected now (Xero's demo company is a new one after every reset), or the employee or pay item was deleted in Xero | On Pay prep & export, the Xero payroll card, Setup: match each row again and press Save matches. |
| Send to Xero holds someone back: "a whole-week figure with no days behind it" | Their week was entered only as a total, and a Xero timesheet is day by day | Unfinalise the week, set their hours day by day on Timesheets, finalise again, then send. |
| A team member isn't getting copies at their personal email | The tick isn't on or wasn't saved, or the address is on the do-not-send list | Open their card: the line under the email boxes names every address their emails go to. Tick Also send their work emails to their personal email, save, then Send a test email, which names any address that can't be reached. |
| No Also send their work emails to their personal email tick on a card | The personal email is empty, isn't a full address, or is the address their emails already go to | Enter a different, complete address in Personal email. |
| A password reset or invitation didn't reach their personal email | Sign-in emails only ever go to the address they sign in with | Intended: a copy would let whoever reads the other inbox into their account. Use the sign-in address. |
| Staff didn't see a notice | Posted as chat, not an announcement | Post must-reads as Announcements (tracked). |
| The unread announcements count won't clear | Some notices have not been on screen yet, or one asks for an acknowledgement | Scroll through Announcements: a notice is read once it is on screen. Press Acknowledge on any that ask for it. |
| Edit is missing on an announcement | Only the person who posted a notice can change it | Delete it and post your own (needs Post announcements). |
| A team chat channel has gone, with its messages | The channel was removed in Comms settings | Add a channel with exactly the same name: its messages come back. Use Rename to rename one. |
| No way to react to a message | Reactions are switched off | Switch Reactions on in Comms settings (needs Edit business settings & branding). |
| Cert/asset reminders missing | Source module off, or reminder type off | Enable the module and the reminder type in Reminders. |
| "… already has that email on your team." | That address is on someone's card or is their sign-in | Open that person instead of adding a second record. If they are archived, rehire them. |
| "That email already has a login." (Set password) | The address signs in to HappierBiz already, here or at another business | Choose Send invite: they accept with the account they have. |
| "… has access you don't have yourself, so ask an owner …" | Giving a login, sending an invite or resetting two-step for someone with more access than you | Ask an owner. |
| "… also belongs to another business on HappierBiz …" (Reset 2FA) | Their two-step protects their other account too | They contact our support team to reset it. |
| A staff member can't find where to update their address | It is under My work → My details, not the staff list | Point them there. |
| Someone can't reach purchase orders | Their role has neither Raise purchase orders nor Approve purchase orders, or Invoicing is off | Tick one on their role, and check Invoicing in Settings → Modules. Purchase orders are under Finance → Invoicing. |
Kiosk tablets
Full guide: Kiosk (a tablet on the counter).
| Symptom | Cause | Fix |
|---|---|---|
| Scanning the pairing square does nothing | The tablet is already paired, so it just opens its kiosk | Unpair it under Settings → Kiosk → Paired tablets, then pair it again. |
| "That code has already been used or isn't valid." | A pairing code works once | Select Generate code for a fresh one. |
| "That code has expired, generate a new one." | Codes last 15 minutes | Generate another. |
| The tablet keeps asking to pair | Its browser clears data between uses, often private browsing | Use a normal tab, then add the kiosk to the tablet's home screen. |
| A tile is missing on the tablet | Unticked, or the module behind it is off | Settings → Kiosk → What shows on the kiosk, tick it. Then check the module. |
| Nobody's name on the clock tile | Only staff rostered today is on and nobody is rostered | Roster somebody, or use the someone else option on the tablet. |
| A person can't clock in with a PIN | Their PIN was never set | Settings → Kiosk, choose Personal PIN, then Set PIN for them. |
| Guest names on a public tablet | The find my name list is on | Turn off Show the "find my name" list, making it scan-only. |
| A tablet is lost | Unpair it. It stops working immediately, and there is no account on it to disable. |
When a save mysteriously fails right after an update
A page left open across an update keeps the version it was opened with, and its buttons can no longer reach the new one: each says to try again, and trying again never works. Refresh the page. A page that notices it is out of date says so at the bottom, This page has been updated. Refresh to carry on., with a Refresh button. Anything not yet saved is lost by a refresh, so finish typing somewhere safe first. A tablet left on the kiosk all day needs the same refresh.
Occasionally a brand-new capability needs a database update to be applied by your provider. The app is built to degrade gracefully (it falls back to the core fields), but a save that needs a new field can fail until the update is in place. If a save fails unexpectedly soon after a release, report it to your administrator / provider.
Still stuck?
- Ask the in-app AI assistant, describe the problem in plain English.
- Re-check the relevant module chapter's Troubleshooting section.
- Use Contact support at the bottom of the Help panel. Tell us what you expected and what happened instead, in your own words.
What Contact support sends with your message
You do not need to describe which screen you were on, or work out what browser you are using. The form attaches that for us:
| Sent | Why it helps |
|---|---|
| Your name, your role and your business | So we know who to reply to, and what you are allowed to see |
| The screen you were on | So we can look at the same thing you are |
| Your browser and screen size | A surprising amount of "the button has gone" is a narrow window |
| The app version your tab is running | If your tab has been open a while it may be running older code, which looks exactly like a bug that was already fixed |
| Your timezone | Some "the date is wrong" reports are a timezone difference, not a fault |
| The recent Help chat, if you had one | So you do not have to re-type what you already asked |
Open What gets sent with this on the form to see the same list in the app. Nothing about your customers, your team or your money is included, and a feature suggestion sends none of the technical details at all.
If it is easier to show us than to type it out, and your provider has it switched on, the form also offers Book a screen share. You pick a time from the times we are available, and we confirm it by email.
